DJB Plumbing & Gas is a busy, family-run plumbing and maintenance business based in Ballarat. We are looking for a reliable, organised and friendly Administration Officer to join our office team. This role would suit someone who enjoys working in a fast-paced environment, is confident communicating with customers and tradespeople, and can manage multiple tasks throughout the day.

Key responsibilities

Answering incoming phone calls and responding to customer enquiries

Booking and scheduling plumbing jobs

Managing technicians' calendars and daily schedules

Creating and updating jobs in ServiceM8

Preparing and sending quotes and invoices

Following up outstanding quotes, jobs and customer enquiries

General accounts and MYOB administration

Processing supplier invoices and purchase orders

Email and inbox management

Liaising with customers, suppliers,



property managers and commercial clients

About you

Strong administration and organisational skills

Confident and professional phone manner

Able to prioritise and manage multiple tasks

Comfortable working in a busy environment where priorities can change throughout the day

Good computer skills and ability to learn new systems

Reliable, proactive and able to work as part of a small team

Solid attention to detail

Previous experience using ServiceM8 (highly regarded)

Previous experience using MYOB (highly regarded)
