Your role

As the Senior Administration Officer, you will play a key role in managing high-level correspondence and supporting the coordination of allocations across the district. Your work will involve preparing ministerial responses, reviewing documentation, and working closely with senior leaders to ensure timely and accurate communication.

What you’ll do

- Manage and triage all incoming correspondence in the district mailbox, ensuring timely allocation and response coordination.
- Review returned matters for accuracy and completeness, make necessary amendments, and prepare them for final approval.
- Work closely with the Director, Senior Project Officer, and Team Leaders to ensure alignment and consistency in responses.
- Draft and quality-check responses to ministerial and high-level correspondence, ensuring they meet departmental standards.
- Prepare reports and collate data to support business unit performance monitoring and decision-making.
- Coordinate and support ad hoc tasks, including organising and delivering group training sessions for new team members.




- Maintain accurate records and tracking systems to monitor progress and ensure deadlines are met.

What we’re looking for

- Exceptional written communication skills, including the ability to prepare, edit and quality assure high-level correspondence and reports.
- Strong organisational skills with the ability to manage multiple priorities, monitor competing deadlines and maintain accurate tracking systems.
- Confidence working independently and exercising sound judgement in a fast-paced environment.
- Well-developed stakeholder engagement skills with the ability to build effective working relationships and collaborate with managers, team leaders and other business areas.
- Strong attention to detail and the ability to review documentation for accuracy, consistency and compliance with departmental standards.
- Experience using technology and administrative systems to monitor workflow, prepare reports and support business operations.
- Experience delivering training, coaching or onboarding support to current team members will be highly regarded.
