LOCATION REQUIREMENT
This is a fully office-based role located in Mount Waverley, VIC. The successful candidate will be required to work from the office five days per week.

Clinton Grand is a high-end residential division, delivering architecturally designed, custom-designed residences across Melbourne's eastern suburbs and other high-value residential areas. The brand is built on timeless design, refined detailing, design integrity and a personalised client experience.
Backed by WestUrban Group's established construction systems, procurement strength and operational infrastructure, Clinton Grand is scaling toward a sustainable portfolio of 40 premium homes per annum. Three homes are complete and a further five are expected to commence shortly.
POSITION PURPOSE
The Project Manager is responsible for two connected outcomes: converting qualified enquiry into signed contracts, and delivering those projects on program, on budget and to the standard the brand promises.
These sit in one role deliberately. On custom homes, the client is choosing a builder and a process rather than a product, and the person who earns that trust at the first meeting should be the person who carries it through construction. Handing the client to someone else after signing breaks the relationship at exactly the point it matters most.
The Project Manager is the client's principal point of contact from first meeting to handover, and the internal owner of the project's commercial, program and client outcomes.
KEY RESPONSIBILITIES
Client engagement and conversion
Take carriage of qualified leads from Group Marketing, referrals, the showroom and display activity, and respond promptly — first response speed materially affects conversion.
Conduct initial client meetings: understand the brief, budget, site, timeframe and expectations, and qualify genuine opportunities from enquiries that are not ready.
Present the Clinton Grand offering, process and previous work in a way that builds confidence in the build, not just the design.
Guide clients through the pre-construction pathway — preliminary and design agreements, site assessment, design development and pricing — keeping momentum without pressure.
Work with the Senior Estimator to produce pricing that answers the client's actual question, and present and explain it to the client and their architect.
Manage the negotiation to contract signature, including scope, inclusions, allowances and program.
Maintain accurate records in the enquiry and pipeline register, including source, status, next action and outcome.
Provide weekly pipeline reporting to the Operations Manager, and feed conversion insight back to Group Marketing so lead quality improves.
Pre-construction and design coordination
Coordinate the client's architect, engineers, surveyors and consultants through design development and documentation.
Manage town planning, building permit and authority approvals, and the associated program.
Coordinate the client selections process, working with allowances, prime cost items and upgrade pricing.
Ensure documentation is complete,
coordinated and buildable before construction commences, working with the Design & Documentation Manager.
Manage the pre-construction program so that approvals, documentation and pricing converge rather than queue.
Contract and commercial management
Prepare and manage domestic building contracts, including scope, inclusions, exclusions and the payment schedule.
Own the project budget from contract award to completion, and manage cost to complete.
Price, document, obtain approval for and administer variations promptly — unpriced or undocumented variations are the most common source of dispute on custom work.
Manage progress claims, payment schedules and the client payment cycle.
Manage extensions of time, delay claims and contractual correspondence, escalating to the Operations Manager where required.
Protect the margin established at estimating stage, and report honestly when it is at risk.
Program and planning
Prepare and maintain the construction program, including critical path, long‑lead items and key milestones.
Identify long‑lead procurement early — bespoke joinery, stone, imported finishes, glazing and specialist items routinely drive the program on this product.
Monitor progress against program and act on slippage rather than reporting it.
Coordinate procurement and trade letting with the Senior Estimator and Group procurement.
Delivery oversight and site interface
Work with the Building Manager and Senior Site Manager to deliver the project to program, budget and quality standard.
Attend site regularly, and hold a structured site meeting cycle with documented actions.
Resolve design, documentation and coordination issues arising on site, referring to consultants where required.
Ensure the site team has the documentation, approvals and information it needs ahead of when it is needed.
Support the Senior Site Manager on subcontractor performance and program issues.
Client relationship through construction
Remain the client's principal point of contact for the life of the project.
Provide regular, structured progress reporting — clients on bespoke projects expect visibility, and silence is the fastest way to lose confidence.
Host client site walkthroughs at agreed milestones and manage expectations on finishes, tolerances and program.
Manage client concerns early and directly, escalating to the Operations Manager before a matter becomes a dispute.
Support Group Marketing with project content, photography access and client testimonials, subject to the client's consent.
Handover and completion
Manage practical completion, final inspections, certification and occupancy requirements.
Coordinate the defect and finishing program so the home is handed over complete,
not conditionally.
Deliver the handover pack, warranties, manuals and maintenance information.
Manage the defects liability period and warranty response.
Conduct a post‑completion review covering cost, program and client outcome, and feed lessons back to estimating and delivery.
Team, reporting and systems
Direct and develop the Assistant Project Manager / Project Administrator, allocating work and reviewing output.
Maintain project records, correspondence, approvals and document control in line with the Group business management system.
Provide monthly project reporting on cost, program, risk and client status to the Operations Manager
REQUIRED CAPABILITIES
Minimum 7 years in residential construction project management, with at least 3 years on custom, architect‑led or high‑specification homes.
Demonstrated client‑facing experience converting enquiry to contract — carrying a client from first meeting through design, pricing and negotiation to signature.
Proven end‑to‑end delivery of residential projects: program, budget, contract administration, variations and handover.
Robust working knowledge of domestic building contracts, progress claims, variations and extensions of time.
Experience coordinating architects, engineers and consultants through design development and documentation.
Experience managing town planning, building permit and authority approval processes.
Experience with clients at the premium end of the market and their expectations around communication and finish.
Experience supervising an assistant or administrator.
Exposure to dual occupancy, townhouse or small multi‑residential work.
Involvement in display home or showroom activity.
Qualifications
Qualification in Building, Construction Management or a related discipline, or equivalent demonstrated experience.
Registered Building Practitioner registration is highly regarded.
SKILLS
Confident, credible and articulate with clients — able to build trust quickly and hold a difficult conversation well.
Commercially capable: budgets, cost to complete, variations and margin protection.
Able to read and interrogate architectural, structural and services documentation.
Competent with construction management and program software, and with Excel.
Clear, prompt written communication — much of the client relationship and the contractual record is in writing.
Well organised across multiple concurrent projects at different stages.
PERSONAL ATTRIBUTES

Responsive — speed of reply is a significant part of both conversion and satisfaction.
