We’re looking for an outgoing, enthusiastic Studio Administrator to support the growth of our Sydney studio.
This hands-on role combines studio operations, HR support and recruitment coordination, ensuring our people and projects are set up for success.
You’ll be self‑motivated, proactive and highly organised, with a positive outlook and strong prioritisation skills; enabling our design teams to focus on delivering the highest quality work.
Experience in a design or architecture studio, or a similar creative environment, will be highly regarded.
Responsibilities
People & Culture / HR
Provide HR advice and support to the Directors and senior leadership team on employee relations, performance management and wellbeing.
Maintain ongoing communication with external HR advisers and employment lawyers to ensure consistent and compliant HR practices.
Ensure HR policies, procedures and staff handbooks are consistently followed, properly documented and regularly reviewed.
Develop and maintain an HR filing framework that aligns with Australian legislation and supports effective business protection.
Develop and maintain HR and employment law policies, resources and relationships, ensuring legislation, regulations and company values are clearly understood and consistently applied.
Stay current with employment law and best practice to ensure HR policies and processes remain compliant.
Generate HR reports and metrics to inform strategic decision‑making.
Act as the primary contact for employee HR queries, support and conflict resolution.
Manage the staff Performance Review process, including scheduling, documentation and follow‑up actions.
Support professional development by maintaining the training plan, career progression framework and related documentation for each employee.
Develop and manage an approved training suppliers database, including establishing and tracking training budgets for each studio.
Build and foster collaborative relationships with employees and leaders across all studios.
Recruitment & Onboarding
Coordinate the recruitment process, including drafting and posting job ads, scheduling interviews and managing candidate communications.
Negotiate and set up recruitment agency relationships and contracts as required.
Update and monitor employee Position Descriptions in collaboration with Directors.
Develop and implement onboarding and off‑boarding procedures to ensure recent starters and leavers are smoothly integrated and exited in line with company culture and processes.
Manage all visa, sponsorship and immigration‑related processes, including coordination with external legal representatives.
Systems & Administration
Optimise the company’s use of Employment Hero, ensuring the platform is configured and utilised efficiently across HR functions.
Ensure the integrity, accuracy and confidentiality of all employee records in compliance with legal and policy requirements.
Manage employee and freelance contracts, ensuring these are up to date and correctly filed.
Create and maintain relevant OneNote folders/pages to assist the team in locating HR and Administration information.
Oversee and manage key software subscriptions in collaboration with the design team.
Support travel bookings for the studio as required.
Reporting
Report directly to the Directors, Sydney, providing regular updates on HR, recruitment and studio administration activities.
