Administration Support Officer (Casual/Part-time)

We’re on the lookout for a part-time Administration Support Officer to join our friendly and professional team at Tsubaki.

If you’re organised, have a good eye for detail and enjoy keeping information accurate and up to date, this could be a excellent opportunity to build your administration experience within an established global organisation.

This is an entry-level role , so previous accounting, finance or logistics experience is not required. We’re looking for someone reliable, willing to learn and comfortable following established processes and procedures.

The Role

Our team is currently seeking an Administration Support Officer to provide day-to-day administrative support across our Finance, Purchasing, Inventory and Logistics functions three days a week.



The role will focus on accurate data entry, document management, maintaining records and completing routine follow-up with customers, suppliers, freight forwarders, the warehouse and internal teams, while escalating any discrepancies or matters requiring approval to the appropriate team member.

Key tasks & responsibilities

- Complete accurate data entry across finance, purchasing, inventory and logistics systems.
- Process and maintain supplier invoices, customer payments, purchase orders, goods receipts and shipment information.
- Prepare the weekly payment details report using approved invoices and supporting documentation.
- Save, name and maintain invoices, purchase orders, GRA documents and other records in the appropriate shared folders.
- Follow up routine information with customers, suppliers, freight forwarders, the warehouse and internal teams as required.
- Check that required information and supporting documents are complete before processing and follow up where information is missing.
- Refer discrepancies, delays, shortages, damaged goods or matters requiring approval to the appropriate team member.
- Respond to routine customer and supplier enquiries in a professional and timely manner.
- Maintain organised,



complete and confidential Company, customer and supplier records.
- Follow Company procedures, WH&S; requirements and complete other reasonable administrative duties as directed.

About You

We’re looking for someone with the right attitude, attention to detail and willingness to learn.

Ideally, you will have:

- Some basic administration, data-entry or customer service experience, although this is not essential.
- Good attention to detail and the ability to enter information accurately.
- Basic computer skills and familiarity with the Microsoft Office suite.
- The ability to follow instructions and established procedures.
- Confidence to ask questions when information or instructions are unclear.
- Clear, polite and professional communication skills.
- Good organisation skills and the ability to complete routine tasks within required timeframes.
- A reliable and professional approach to your work.
- Respect for confidential Company, customer and supplier information.
- A willingness to learn Tsubaki’s systems, processes and procedures.
