Facilities Manager / Maintenance / Grounds

Westgrove Primary School was established in 1995 and is located within the City of Wyndham on the land of the Bunurong People.

Facilities

Our grounds have three designated play equipment areas, a synthetic sports area, a gymnasium, well-resourced library, daily canteen and well furbished classroom buildings. In addition, we have a swimming pool on school grounds, which we are in a joint use agreement with Paul Sadler Swimland and a kindergarten managed by BPA children's services. Our students regularly access swimming programs as do several local schools who hire the facility. We are proud of the Indigenous garden we have established in recent years. It includes a meeting place, a culturally significant sculpture and planting as well as signage which has been created by our Indigenous student population

This is a part-time position, minimum24 hours per week over a minimum of 4 days, with a start time of 7.30am on the agreed days. Hours and days of work will be negotiated with the successful applicant.

Attendance is required on School holidays (4 weeks per year) & out of hours on-call which comes with an additional leave purchase allowance.

Responsibilities

General

Ensure that all buildings and grounds are well maintained and presented, with all work undertaken in compliance with OHS and Department standards.

Maintain a healthy and safe working environment by following OHS regulations and actively participating as a member of the OHS Team.

Respond to repairs, maintenance, and OHS requests from staff, students, and stakeholders using the Compass issue tracker system in consultation with the PCOs.

Support the management of AIMS by maintaining and updating maintenance records, contracts, and service schedules and SAM4Schools





Raise purchase orders and requisitions through Compass financial management system and submit invoices as required

Liaise with and coordinate contractors onsite, ensuring compliance before attendance, on-site inductions and WWCC and verifying completion of works.

Prepare for & attend special school events & be on-call for out of hours emergencies.

Arrange regular servicing and inspection of all essential equipment and systems as per DE and School-based schedules.

Provide regular updates to the Principal regarding building, grounds, and facilities operations.

Participate in relevant training and professional learning as required.

Buildings, Grounds and Facilities

Perform hands-on maintenance tasks as required, including, but not limited to, graffiti removal, emergency maintenance, cleaning, deliveries, and general repairs.

Respond to daily maintenance requests and prioritise work based on urgency.

Support and assist with minor works and refurbishment projects, both school-driven and Department-driven.

Maintain school grounds, including mowing, garden care, and weed control.

Work alongside contractors to request quotes & ensure timely and high-quality completion of works.

Identify and report maintenance, furniture, or equipment needs to the Principal.

Moving of furniture & equipment as required.

Contribute to the ongoing development and improvement of school facilities and grounds.




Undertake any other duties as negotiated with the Principal.

Compliance and Annual Inspections

Support OHS reporting, auditing, and project requirements to ensure adherence to legislation.

Assist with general and cyclical maintenance of facilities and equipment.

Maintain familiarity with the mechanical and electrical systems of the school and ensure operational manuals are up to date

Comply with WorkSafe and Departmental standards regarding asbestos, chemical safety, risk management, and facilities hazards.

Undertake routine inspections as required by the Departments OHS calendar.

KEY SELECTION CRITERIA

1.Facilities Management

Demonstrated experience in facilities management, including cyclic maintenance, compliance, repairs, contractor management and overseeing/ completing minor projects.

2.Contractor Management

Demonstrated experience in contractor and procurement management within a school (or similar) environment. This includes engaging and coordinating contractors, conducting inductions, risk assessments and ensuring all contractors have the required documentation to work safely onsite.

3.OHS Compliance

Knowledge of Occupational Health and Safety (OHS) Management Systems and Work Protected procedures to identify, manage and provide solutions to risks within the school.

4.Maintenance

Sound technical knowledge and hands-on proficiency in general maintenance, minor building repairs, and grounds/gardening work, with skills in the use of relevant tools and equipment, and the physical capacity to carry out a hands-on role.

5.Digital Systems

Demonstrated ability to establish and/or maintain digital databases and registers (e.g. key register, chemical register, contractor management).
