The Role
As our Project Coordinator, you will play a key role in keeping projects organised, documented and moving. Working closely with Project Managers, clients, consultants, subcontractors, suppliers and internal teams, you will coordinate project administration, procurement, scheduling, financial controls, reporting and compliance activities to help deliver projects safely, on time, within budget and to client and company requirements.
Key Responsibilities:
- Project Coordination: Coordinate project mobilisation, handover activities, schedules, action registers, procurement trackers, variation registers and project documentation.
- Procurement & Delivery Support: Support subcontractor and supplier engagement, monitor milestones, lead times and critical path activities, and provide timely updates to the Project Manager.
- Client & Stakeholder Communication: Coordinate client communications, schedule and document meetings, prepare agendas and minutes,
and help ensure information requests are managed within agreed timeframes.
- Financial Administration: Assist with cost tracking, budget monitoring, progress claims, subcontractor payment assessments, variation registers and monthly project reporting.
- Systems, Quality & Compliance: Maintain accurate project records, support WHS, quality and environmental compliance, coordinate inspection documentation, assist with defects tracking and support project closeout.
What You Bring
- Education: A tertiary qualification in Construction Management, Project Management, Building, Engineering or a related discipline is highly desirable.
- Experience: We are seeking someone with a strong contracts administration background, ideally with 2-3 years' experience as a Project Coordinator or similar role within commercial design and construction.
- Technical Savvy: Proficiency in Microsoft Office, particularly Excel, Outlook, Word and Teams. Experience with Procore, Jobpac or similar project management systems is highly regarded.
- Construction Knowledge: Understanding of construction lifecycles, procurement, contract administration, Security of Payment legislation, WHS, quality and environmental requirements, the NCC and relevant industry standards.
- The "Extras": Strong planning, organisation, communication and stakeholder management skills, with a proactive, solutions-focused approach and strong attention to detail.
