Team Assistant | 6-month contract | Full-time hours | 4 days in the office | $45–$60 per hour + super
Are you an experienced Team Assistant, Senior Administrator, Personal Assistant or Executive Assistant looking for a varied contract opportunity where no two days are quite the same?
We're working with a growing and professional organisation in Norwest looking for a proactive, organised and hands‑on individual to work closely with the CFO and help keep the day‑to‑day operation running smoothly.
This isn't a traditional Executive support role. While there is an element of calendar and meeting coordination, the role is equally focused on hands‑on administration, coordination and making sure things get done.
We’re also open to candidates who are looking for a 4‑day‑per‑week chance, providing some flexibility around working arrangements.
What's on offer?
- Role type: 6-month contract with potential to become permanent
- Hours: Full-time, ideally 8:30 am–5:00 pm
- Location: Norwest, NSW
- Office days: 4 days in the office + 1 day WFH
- Hourly rate: $45–$60 per hour + super
- Environment: Friendly, professional and collaborative
- Reporting to: CFO
- Exposure: Regular interaction with senior stakeholders
- Role scope: Team Assistant, executive support and general administration
About the role
You'll be the person who keeps things moving behind the scenes. Working closely with the CFO, you'll start each day by understanding the key priorities and then take ownership of making sure everything gets done.
Your day could include coordinating complex meetings, managing calendar requirements, preparing the boardroom, organising catering, supporting Town Halls, coordinating travel or simply jumping in to solve whatever needs attention.
The role will evolve as you settle in, build relationships and learn how the business operates.
Your responsibilities may include:
- Coordinating meetings involving multiple senior stakeholders
- Managing calendar and meeting coordination for the CFO
- Liaising with stakeholders to coordinate availability
- Preparing boardrooms and meeting rooms for meetings and presentations
- Coordinating catering, coffees and other meeting requirements
- Organising printing, scanning, binding and document preparation
- Assisting with monthly Town Halls and staff events
- Coordinating travel through the company's travel booking provider
- Supporting staff celebrations and milestones
- Helping with the practical/logistical side of internal events
- Supporting Board meeting coordination once established in the role
- Greeting and coordinating visitors and guests
- Organising vouchers, certificates and other staff requirements
- Providing general administrative support and assisting with ad hoc requests
We're looking for someone who is:
- Highly organised, proactive and reliable
- Action-oriented with a genuine "get it done" attitude
- Confident dealing with senior stakeholders
- A natural problem solver who can use initiative
- Professional, approachable and personable
- Comfortable picking up the phone and following people up
- Happy to be hands‑on and get involved in whatever needs doing
- Comfortable managing changing priorities
- Someone who enjoys being the go‑to person who keeps things moving
- Confident working independently while closely supporting a senior leader
The culture
You'll be joining a friendly and engaging team within a professional corporate environment. The role will suit someone who enjoys building relationships, being involved and becoming a trusted go‑to person.
This person will play an important role in keeping things moving, following up and making sure tasks are completed.
If you're an organised, capable and hands‑on support professional who enjoys variety and wants to work closely with senior leadership, we'd love to hear from you.
