We're looking for a passionate and enthusiastic Event Coordinator to join our vibrant team of sales and marketing professionals at Talk2 Media & Events, working on AIME. The role plays a key part in the commercial success and customer satisfaction of the show, and the dynamic environment gives ample opportunity to build on your experience in the events industry.

The Role

Reporting to the Operations Director, this role is central to the smooth running of the event and to the experience of our exhibitors and buyers. This is a 6-month contract position, with a view to becoming a full-time role following the successful delivery of the event. Responsibilities will include (but not be limited to) the following activities:

- Acting as a key point of contact for exhibitors and buyers, fielding questions and providing timely, friendly support
- Coordinating exhibitor and buyer logistics in the lead-up to and during the show
- Managing exhibitor and buyer communications, including updates, reminders and general enquiries
- Supporting the delivery of the hosted buyer programme
- Reviewing and maintaining accurate exhibitor and buyer data across event and CRM platforms
- Collating data for reporting purposes as required
- Assisting with the preparation and upkeep of the Exhibitor Manual and other event resources
- Coordinating onsite logistics and support for exhibitors and buyers during the show
- Providing general administrative and operational support to the Event Director and wider events team




- Building and maintaining strong working relationships with exhibitors, buyers and internal stakeholders
- Assisting with post-show wrap-up, including data collation and feedback gathering

Skills & Experience

The role will ideally suit someone with experience in delivering events, who is numerate, logical and has strong process discipline. We're looking for a confident, motivated and engaging event professional. A true team player with a positive attitude, no task will be too small, and you will be willing to jump in and help out as needed across the team.

To be successful in the role, you will also have the following experience and attributes:

- Minimum of three (3) years' experience in an event coordination role, with experience in B2B trade shows highly regarded
- Positive self-starter who works well both autonomously and as part of a team, with strong initiative
- Ability to work calmly and efficiently under pressure and adaptable to different working environments and styles
- Highly developed interpersonal, verbal and written communication skills with sound negotiating and conflict resolution skills
- Excellent time management skills with the ability to prioritise effectively, meet deadlines and achieve required outcomes
- Strong customer service focus and a practical, solutions-oriented approach
- Professional phone manner, proficient and well-spoken verbal communication
- Attend events outside of normal business hours as required
- Proficient use of MS Office products, in particular Word & Excel and MS Outlook, as well as CRM software programs
