The Diocese of Lismore Early Education and Care (DLEEC) Ltd. brings together our existing 9 OSHC services in one new organisation. Over time we are looking to grow in both OSHC and Early Learning.
As we come together as DLEEC, we have a new opportunity for an Operations Support Officer to join us. Working with Service Coordinators, families, hiring managers and internal teams, you will provide responsive administrative and operational support across recruitment, childcare administration and daily service operations.
Responsibilities of the position
This is an operations role - which is reflected in the position's responsibilities.
Recruitment
Partner with hiring managers to identify talent required to deliver high quality services.
Provide hiring managers support advertising, provide role descriptions and recommended remuneration and options to fill talent gaps such as temporary, casual or agency.
Monitor shortlist candidates, customising for each hiring manager to make informed selections in line with service planning and talent requirements.
Oversee recruitment related documents and sign‑off processes.
Assist with the development of a robust and positive onboarding experience for all employees.
Assist with the development, monitoring and review of recruitment policies and procedures, and implement accordingly.
Finance tasks
Prepare, document and process journals to the general and subledgers including accruals and deferrals as required.
Perform other financial processes to enable segregation of duties.
Assist in credit management processes and debt collection
Administer the documentation and record keeping for the application and implementation of the grant funding
Liaise with Service Coordinators to collect, consolidate and report operational information, including debtor information and other key performance data.
Assist in coordinating and managing visiting suppliers and contractors while onsite at the OSHC sites or Early Learning centre , ensuring their compliance with centre policies and procedures.
Monitor compliance with accounting standards and relevant legislation.
Operations Support
Provision of effective and productive operational support.
Contribute to effective information management in the Child Care Management System (CCMS) and ensure that enrolment information is accurate and stored correctly in the database.
Manage parent accounts and monitor ongoing payments through the CCMS, ensuring accuracy and timeliness in financial transactions.
Ensuring that all services session reports are compliant with family assistance law and that accurate session date is being reported to Centrelink
Provide support in the ACCS application processes, monitor certificates and determinations and ensure that the most recent information is retained and updated in the CCMS.
What does a strong candidate look like?
You might not have all of the following but overall you should be able to demonstrate that you have strong digital and organisational skills.
Qualifications, knowledge and experience that would strengthen your application include:
Child & Family Administration experience in early childhood education or education sector with a focus on family support, enrolment services and information management.
Demonstrated experience in accounting and recruitment preferably in Education, Human Resources or Business.
Strong attention to detail and the ability to coordinate and manage conflicting priorities.
Administrative experience with advanced computer skills.
Customer Service experience with a focus on achieving enrolment targets.
Able to respond to sensitive issues, to act with discretion, exercise prudent judgment and maintain confidentiality as circumstances require.
Valid Working with Children Check clearance (WWCC) number.
Willingness to respect, support and uphold the mission, ethos and teachings of the Catholic Church
Candidates must have unrestricted rights to work in Australia, a current Class C Australian Driver’s Licence, a current NSW WWCC and be able to obtain National Criminal History Check and Prohibited Persons check clearances.
