Job Description
Porous Lane Porous Lane is an innovative Australian company specialising in high-performance permeable pavement solutions designed to improve stormwater management, support urban tree health and create more sustainable built environments. Our unique pavement technology incorporates Australian recycled tyre material and is used across a diverse range of applications, including footpaths, car parks, tree surrounds, bike and shared paths, driveways, nature strips and other public and private infrastructure projects. As our operations and project portfolio continue to grow, we are seeking an organised and proactive Project Administrator / Project Coordinator to support the planning, administration and successful delivery of Porous Lane projects.
Working closely with project managers, engineers, contractors, clients and other project stakeholders, you will coordinate project documentation, monitor project requirements and progress, assist with contractor activities and ensure that administrative and operational matters are effectively managed throughout the project lifecycle. Task & responsibilities
- Coordinate multiple projects concurrently, managing schedules, priorities, resources, deadlines and key project milestones. Liaise with clients, builders, architects,
engineers, consultants, accredited contractors, suppliers and internal teams to coordinate project requirements and achieve agreed outcomes.
- Review construction drawings, specifications and project documentation to identify project requirements, site considerations and potential delivery issues. Prepare and maintain project scopes, quotations, purchase orders, work orders, contracts, correspondence and other project documentation. Review changes to project scopes and requirements, coordinate project variations and maintain records of variations to work orders.
- Respond to project enquiries and work with relevant stakeholders to resolve administrative, technical, site and delivery issues. Coordinate project onboarding and compliance requirements, including subcontractor registrations, inductions, insurance certificates, SWMS, permits and WHS/OH&S; documentation. Coordinate and monitor contractors, accredited installers, materials and other resources, including site readiness requirements, to support timely project delivery.
- Attend site and project meetings and work collaboratively with project managers, architects, engineers, contractors and clients to ensure project requirements and milestones are achieved. Monitor project progress against agreed scope, programme, quality and contractual requirements, reporting significant issues to management and coordinating agreed actions. Assist with tender submissions, project proposals, technical documentation, pricing schedules and reports relating to Porous Lane's project activities.
- Coordinate procurement and liaise with suppliers to ensure required materials, equipment and resources are available in line with project schedules. Collect and maintain project data,
monitor project performance and prepare progress updates, completion reports and information on project outcomes.
- Coordinate project close-out, including outstanding works, drawings, approvals, technical data, completion documentation and final project records.
Qualification & experience
To be successful in this position, you will ideally have: Diploma in Project Management, Business, Construction, Engineering, Administration or a related discipline, or an equivalent qualification. At least 1 year of Previous experience in project coordination, project administration or a similar role, preferably within construction, civil infrastructure, engineering, landscaping or a related project-based environment.
Demonstrated ability to coordinate project documentation, schedules, contractors and multiple stakeholders. Strong administrative and document management skills with excellent attention to detail. Ability to interpret project scopes, specifications, work orders and supporting project documentation.
Strong written and verbal communication skills and the confidence to liaise with clients, contractors and technical professionals. Good analytical and problem-solving abilities, particularly when dealing with project changes and delivery issues. Solid organisational and time-management skills with the ability to manage competing project priorities.
Competency with common project management, document management and Microsoft Office applications. A collaborative and proactive approach to supporting project teams and achieving project outcomes.
