About the position

The College Support Officer provides day-to-day support to the College Leadership Team and is often the first point of contact for students and their families, and other members of the College community and stakeholders. This role plays an key part in fostering a welcoming, safe, and well-supported environment.

To be effective in this position, the College Support Officer brings a mature and professional approach, strong interpersonal skills, and a commitment to confidentiality. The role requires the ability to engage positively with a young adult community in a way that reflects the College’s values and aspirations.

Responsibilities

General

- Provide continuity of support to the Duchesne community, particularly for the students and be the first point of contact for any incidents or emergencies while on duty. This may cover fire, medical first aid and mental health first aid, individual student matters, unapproved student events and community living issues

- Manage student enquiries at Reception and provide support as required

- Meet and greet guests and visitors to the College and arrange hospitality as required

- Communicate any support required by students to other staff in a timely manner, to ensure students are provided with a consistent level of service delivery regarding community living, academic and wellbeing support and emergency incident response.

- Support the management of College phone calls, the general College email inbox, mail and parcel deliveries for the College

- Ensure the College facilities and common areas maintain a high level of presentation daily, including identifying any areas of concern and arranging support for cleaning, maintenance and support as required.

- Support information flow to the other College Support Officers,



Resident Support Officers and other staff as required so that there is consistent service delivery across the week. Handover reports, Incident reports and project updates will be required to support consistent and efficient support delivery.

Commitments in relation to National Higher Education Code to Prevent and Respond to Gender-based Violence

- All staff must declare whether they have been investigated for an allegation of Gender-basedviolence ordetermined to haveengaged in conduct thatconstitutesGender-based Violenceduring the course ofpreviousemployment,in a college environmentor otherwise in a legal process.

- Under the NationalHigher Education Code to Prevent and Respond to Gender-based Violence,all staff must declareto the Head of Collegeany conflicts arising from existing orpreviousintimate personal relationships, withinthe college context, to allow the management of any associated risks.

- Under the NationalHigher Education Code to Prevent and Respond to Gender-based Violence, all staff must attendspecialised education and training on responding to disclosures of gender-based violenceon an annual basis.

Communication

- Provide updates to staff, students and the community on operational impacts and ongoing activities using agreed communication methods.

Events

- Provide support for College, College Council and student meetings, events and functions as required. This may include venue bookings, invitations, printing, guest lists, liaison with attendees and guest speakers, gifts, catering, RSVPS

- Provide support as required during weekdays and evenings to facilitate academic tutorial program

- Provide support as required during evenings and weekends to facilitate tours by prospective students

- Provide support as required for any external bookings for College accommodation or venue hire

- Provide support for approved student events as per approved Event Management Plans and College policy.

Organisational





- Provide administrative and project support as required to support the College's admissions and enrolment, academic and wellbeing, finance, advancement and engagement activities.

Qualifications and Experience

- Relevant tertiary qualifications, or equivalent combination of relevant work experience and/or education in the fields of education, health, and/or business administration or related field

- Experience working in an educational, health or business environment with young adults is highly desirable

- Advanced-level skills and experience with a variety of computer systems and programs including:

- Microsoft Office 365
- StarRez (highly desirable)
- Student information management systems
- Content management systems
- Databases/CRMs

- Hold Current Blue Card or eligible to get one (compulsory)

- Hold or be willing to complete First Aid and CPR and Mental Health First Aid Qualifications (compulsory).

Preferred candidates will be required to complete mandatory pre-employment declarations and background checks, including those related to gender-based violence, in line with Duchesne College compliance requirements.

Availability: both weeknight 4pm to 9pm and weekend availability.
