The Opportunity

We have an exciting chance for a professional and highly organised Bid Coordinator to join our growing team.

This is a full-time position based at our Head Office in Chipping Norton and is suited to someone with strong written communication skills, exceptional attention to detail and the ability to coordinate multiple tender submissions and deadlines.

The successful candidate will play an important role in coordinating tenders and proposals from initial opportunity through to final submission, working closely with management and operational stakeholders across the business.

Key Responsibilities

As Bid Coordinator, your responsibilities will include:

- Coordinate the end-to-end tender and bid submission process.
- Review tender documentation, requirements and returnable schedules.
- Coordinate submission timelines,



responsibilities and deadlines.
- Liaise with internal stakeholders to obtain accurate operational, commercial, compliance and company information.
- Prepare and complete tender responses using approved company information, templates and resources.
- Ensure submissions are accurate, professional, consistent and responsive to the specific tender requirements.
- Coordinate supporting documentation, schedules, policies, capability information and other tender attachments.
- Proofread and quality-check submissions prior to final review and submission.
- Maintain organised tender files, records, templates and company information.
- Attend monthly Business Development meetings to discuss current and upcoming opportunities.
- Liaise with prospective and existing clients as required.
- Assist with proposals, presentations and other Business Development activities when required.

Skills and Experience

To be successful in this role, you will have:

- Previous experience in bid coordination, tender coordination, proposal coordination, business development administration or a similar role.
- Demonstrated experience preparing and coordinating professional tender or proposal submissions.




- Strong written communication skills with the ability to develop clear, accurate and tailored responses.
- Exceptional attention to detail and proofreading skills.
- Strong time management and organisational skills, with the ability to manage multiple deadlines simultaneously.
- Ability to interpret tender requirements and ensure all submission requirements are addressed.
- Strong interpersonal skills and confidence working with stakeholders across different areas of a business.
- Proficiency in Microsoft Office, particularly Word, Excel, PowerPoint and Outlook.
- A dependable, organised and self-motivated approach to work.
- Experience within commercial cleaning, facilities management, property services, security or a related service industry will be highly regarded.
- Marketing or Business Development experience will be advantageous but is not essential.

Importantly, this position requires strong independent writing, research and critical-thinking skills. Candidates must be capable of preparing accurate, tailored tender responses using company information and their own qualified judgement, without reliance on AI-generated content.
