Workforce Recruitment Co-ordinator
Contract | 3-6 months
Immediate Start
Melbourne | Hybrid (3 office / 2 home)
You're the kind of person who can spend the morning interviewing a shortlisted candidate, switch to chasing down a timesheet discrepancy after lunch, and still have headspace left to update a contract amendment before close of business. You don't find that exhausting. You find it interesting.
That's exactly who we're looking for.
The Role"
This is a Workforce Resourcing Coordinator position sitting inside a specialist Defence and National Security workforce team. It's a hybrid role that combines the front-end of recruitment with the operational administration that keeps a contractor workforce running properly.
On the recruitment side, you'll be managing candidate pipelines, screening and shortlisting, coordinating interviews, and making sure submissions land well with the client. On the admin side, you'll be owning the contractor lifecycle: onboarding, timesheet management, contract amendments, expiry tracking, and liaising across Payroll, Legal, Finance and People & Culture when things need resolving.
Both sides matter equally here. Neither is a side hustle.
What you'll be doing
- Managing candidate pipelines and supporting end-to-end recruitment delivery for assigned accounts
- Screening, interviewing, and coordinating candidate submissions against client requirements
- Onboarding new contractors and maintaining accurate records across workforce platforms
- Following up timesheets, reconciling data for payroll, and resolving queries with internal teams
- Tracking contract end dates and processing amendments and extensions via Employment Hero and Jira
- Preparing operational and performance reporting for leadership
- Keeping documentation current and identifying process improvements where you see them
What you'll bring
- 2+ years in a recruitment, resourcing, HR ops, or contractor admin role
- Confidence working across multiple systems simultaneously (think Employment Hero, FinOps, Jira, or similar)
- The kind of attention to detail that means you'd catch a discrepancy before it became someone else's problem
- Strong communication skills across stakeholders at every level
- Eligibility and willingness to obtain a Defence security clearance
- A continuous improvement mindset — not someone who accepts a broken process just because it's always been done that way
Experience in a Defence, government, or skilled services environment is a plus. It's not a dealbreaker.
The setup
Melbourne-based with a hybrid arrangement. You'll be working as part of a close-knit, high-performing team where the quality of your work genuinely matters.
