About EMA Labs

EMA Labs is a growing cosmetic and personal care manufacturer based on the Gold Coast. We work with a diverse range of brands to develop and manufacture skincare, haircare, perfumes, body care, fragrance and other personal care products.

As our business continues to grow, we are looking for an experienced and highly organised Administration & Operations Coordinator to join our team.

This is not just a traditional administration position.

We are looking for an all-rounder who understands a manufacturing environment and wants the opportunity to grow into a broader and more senior operational role within the business.

Previous experience within cosmetic, personal care, pharmaceutical or a similar manufacturing environment is highly desirable. Hands-on production experience would be a significant advantage.

About the Role

This is a varied position working across administration, customer service, quality assurance, inventory and production support.

You will work closely with management, our formulation team, production staff, suppliers and customers to help ensure projects and day-to-day operations run smoothly.

Your responsibilities will include:

- General administration and day-to-day operational support

- Maintaining and improving internal management systems, registers and records

- Assisting with Quality Assurance documentation and compliance

- Maintaining production, batch and product documentation

- Assisting with SOPs, specifications and controlled documents

- Inventory and stock control

- Monitoring raw materials, packaging and finished goods

- Assisting with purchasing and stock requirements

- Liaising with customers regarding projects, orders and production

- Providing professional and responsive customer service





- Assisting with production planning and coordination

- Maintaining accurate customer, product and manufacturing information

- Coordinating documentation between formulation, production and administration

- Assisting with continuous improvement of internal systems and processes

- Providing general support to management and the wider team

About You

We are looking for someone who is organised, practical, proactive and comfortable taking ownership.

Ideally, you will have:

- Previous administration or operations experience within cosmetic manufacturing, personal care, pharmaceutical or a related manufacturing industry

- Strong organisational and administrative skills

- Experience with Quality Assurance systems and documentation

- An understanding of manufacturing documentation and record keeping

- Experience with inventory or stock control

- Solid computer skills and confidence learning and maintaining internal systems

- Excellent written and verbal communication skills

- Strong attention to detail

- The ability to manage multiple priorities and follow tasks through to completion

- A professional and friendly approach when dealing with customers

- The ability to work independently as well as part of a team

Highly Regarded

Experience in any of the following areas would be particularly advantageous:

- Hands-on cosmetic or personal care production

- GMP or Quality Management Systems

- Batch manufacturing and production documentation

- Raw material and packaging inventory management





- Cosmetic formulation or laboratory environments

- Production planning and scheduling

- Customer account management

- Purchasing and supplier coordination
