Frenchs Forest

Mobiquip is a growing mobility and independent-living equipment business. We help people maintain their independence through a wide range of mobility, aged-care and disability equipment.

We work closely with customers, families, occupational therapists, aged-care providers, disability organisations, DVA and other healthcare professionals and providers.

As we grow, we are building a central Head Office team so our showroom teams can focus on customers and our Warehouse & Delivery team can focus on receiving, preparing and physically delivering equipment.

We are looking for a capable and highly organised Sales Operations Coordinator to become an important part of that Head Office team.

The role

You will take responsibility for our group sales inbox and help manage the flow of provider enquiries, quotes, approvals, DVA and other provider orders from initial request through to delivery scheduling and handover for fulfilment.

The objective is simple: Head Office takes care of the processing, coordination and delivery scheduling so our customer-facing teams can spend more time advising customers and our Warehouse & Delivery team can concentrate on preparing and physically delivering equipment.

What you'll be doing

• Managing and prioritising our group sales inbox.

• Responding to occupational therapists, aged-care and disability providers, DVA and other customers/providers.

• Preparing and sending quotes using Xero.

• Processing quote amendments, approvals and purchase orders, and following up outstanding quotes and approvals.

• Receiving and processing DVA and other provider orders through to fulfilment.

• Owning and maintaining the delivery schedule across the business, including confirming requirements and timing with customers, providers, showrooms and Warehouse & Delivery.

• Checking product details,

pricing and stock availability.

• Keeping customer, provider, quote and order information accurate and coordinating information between Head Office, showrooms and Warehouse & Delivery.

• Using Shopify for product and stock information, and AI/automation tools to reduce repetitive processing and improve turnaround times.

You'll need to know our products

This is not a role where you simply process product codes from behind a computer.

Our Head Office is located alongside one of our showrooms, giving you direct access to the equipment and experienced people who work with it every day.

We expect you to develop a strong working knowledge of our mobility, aged-care and disability equipment, including key product categories, common accessories and the terminology used by occupational therapists and care providers.

You do not need to arrive knowing everything, but you do need to be curious and willing to get out from behind the computer to understand the equipment you are quoting and discussing.

Who we're looking for

You could come from sales administration, customer service, order processing, healthcare, aged care, disability, retail operations or another product-based business. More important than your exact background is how you work.

• Highly organised and able to stay on top of a busy workload.

• Takes ownership and follows things through to completion.

• Excellent attention to detail.

• Confident and professional by email and phone.

• Curious about products and enjoys learning how they are used.

• Comfortable dealing with healthcare professionals, providers and customers.

• Comfortable learning software, systems and AI-assisted tools.

• Practical and commercially minded.

• Enjoys finding better and more efficient ways of doing things.

Previous experience with mobility equipment, assistive technology, aged care, disability or healthcare would be highly regarded, but is not essential. Experience with Xero, Shopify or similar business systems would also be advantageous.

Hours and location

This is a permanent part-time role of approximately 25 hours per week, based at Mobiquip Head Office on Sydney's Northern Beaches.

We are flexible about the exact structure and the role could suit someone looking for quality work during school hours. Because our customers and providers operate throughout the working week, we would ideally like the hours spread across five weekdays.

Why join Mobiquip?

This is more than a traditional administration position. You will take ownership of an important Head Office function spanning provider enquiries, quoting, order processing and delivery scheduling, while developing genuine knowledge of mobility and assistive equipment.

Mobiquip is investing in better systems, AI and automation to remove repetitive work. You will have the opportunity to help shape these processes as the business grows.

If you are organised, capable, interested in learning and looking for a substantial part time role where you can take real ownership, we would like to hear from you. Please apply with your resume as well as a cover letter addressing the selection criteria.
