About the role

We are seeking an experienced, organised and personable Practice Manager, Administration & Billing Coordinator to join our specialist vestibular physiotherapy clinic. This is a key role within the practice, responsible for ensuring the smooth day-to-day running of our clinic, providing an exceptional patient experience, and overseeing administrative, billing and practice management functions. The ideal candidate will be highly organised, proactive and confident working independently, with excellent attention to detail and a genuine interest in supporting a patient-centred healthcare setting.

Key responsibilities

- Oversee the day-to-day administration and smooth operation of the clinic

- Manage patient bookings, cancellations, recalls and waitlists

- Provide warm, professional and efficient reception and patient support

- Coordinate clinician schedules and optimise appointment availability

- Manage invoicing, payments, Medicare, private health and other billing processes

- Follow up outstanding accounts and maintain accurate financial records

- Process referrals, reports,



correspondence and patient documentation

- Maintain accurate and confidential patient records

- Liaise with patients, referring doctors, specialists and other healthcare providers

- Support practice policies, procedures and compliance requirements

About you

- Previous experience in healthcare administration, practice management or medical billing

- Strong understanding of Medicare, private health and healthcare billing processes

- Excellent organisational and time-management skills

- High attention to detail and accuracy

- Excellent communication and interpersonal skills

- Confidence dealing with patients, healthcare professionals and external providers

- Ability to manage competing priorities and work calmly in a busy clinical environment

- Strong computer and practice-management software skills

- A proactive, solutions-focused approach

- The ability to work independently while being a supportive team member
