The team is led by a highly experienced and busy employment lawyer who is renowned for her expertise, commmitment to excellence and her determination to delivering outstanding legal services for her clients. She is looking for an Executive Assistant with a genuine interest in employment law, exceptional organisational and IT skills, to support her and contribute to the firm's mission of delivering outstanding legal services.
The role:
As the Executive Assistant to our principal lawyer, you will play an important role in supporting the efficient operation and development of the administration functions of the firm. This position, which may be full time or part time depending on the experience and capabilities of the candidate, offers a unique blend of administrative tasks and personal interaction, requiring a high level of flexibility, organisational and technical skills, and autonomy.
Key Responsibilities:
File Management:
Organize and maintain client files to ensure information is meticulously filed, tasks are proactively managed and diarised, deadlines are met and the principal lawyer is kept up to date while ensuring confidentiality, accessibility and compliance with relevant obligations in a paperless environment.
Answering phone calls and emails
from clients and manage new enquiries in afriendly, helpful and efficient manner.
Drafting, editing and sending correspondence
,
including transcribing recorded correspondence with minimal need for spelling/grammar correction, ability to create document templates with in-built styles.
Ability to prepare/amend wide range of documents, spreadsheets, and PowerPoint presentations:
Active role in creation of wide range of materials and ability to edit same, including assisting firm with branding and corporate style in respect of such materials.
Managing Engagement Processes, Invoices and Payments:
Manage and assist in timesheet preparation, the invoicing process, ensure timely payments, and manage financial records with precision.
Onboarding New Clients:
Facilitate the onboarding process, making it seamless for new clients to engage with our services, including managing processes designed to ensure appropriate disclosures and maintaining client confidentiality.
Flexibility and Autonomy:
Adapt to varying tasks with minimal direction, effectively prioritizing and managing your workload.
Problem-Solving:
Take ownership of challenges, demonstrating initiative and resourcefulness in finding solutions and addressing administrative duties as they arise.
You are:
An experienced EA (at least 5 years) from a legal environment (employment law preferred, however,
any role requiring completion and filing of court forms will be highly regarded).
Experienced with the systemisation and collation of sensitive materials and managing compliance processes in a legal environment.
Hardworking and flexible individual with a strong work ethic.
Highly organized with meticulous attention to detail.
Capable of working autonomously and owning tasks from initiation to completion.
Discrete and understand the importance of maintaining both client and firm confidentiality.
An excellent communicator - with strong interpresonal skills, both written and verbal.
Highly Proficient in OneDrive, Microsoft 365 tools, particularly Microsoft Office and Outlook, as well as other relevant software, with a fast-typing speed.
Able to follow direction, adapt to change and evolve with the firm's systems and processes as it grows.
Willing to contribute to the development of systems and processes in a growing firm.
Able to work effectively from home in a professional and safe manner while maintaining client and firm confidentiality.
Eligible to work in Australia.
