Executive Assistant & Coordinator - Transformation Office (EPMO)

Scope is a registered provider under the NDIS and delivers a range of services including supported independent living, therapy and employment services in over 420 service locations across Victoria and NSW.

There are a variety of projects in flight across technology and systems, AI, data, process and capability and
we are looking for a highly capable Executive Assistant (EA) & Transformation Office Coordinator to join us in a newly created position, reporting directly to our Chief Transformation Officer.

About Your Role
Reporting to the Chief Transformation Officer, your role will be at the heart of transformation activities, performing the duties of EA to the Chief Transformation Officer and also acting as the coordination hub for our Transformation Office, supporting the effective running of meetings, governance forums, planning cycles and reporting rhythms.
This is a high-profile role in a supportive environment - you will have exposure to senior stakeholders across our organisations and an array of activities to challenge and engage you.
You will enjoy interacting with diverse stakeholders and possess the communication and relationship skills to thrive in a rapid paced, diverse and complex environment.
Your Key Focus
This role is all about helping the Chief Transformation Officer (CTO) and the Transformation Office stay organised, focused and effective.
You will:
Keep things running smoothly at an executive level
Manage priorities, meetings and information so the CTO can focus on the most important work and make well-informed decisions.
Be the central point of coordination
Bring together meetings, reporting, workshops and communications so everything is aligned, well-prepared and connected.
Support clear and timely decision-making
Ensure the right information is prepared and shared at the right time so leaders can make decisions quickly and confidently.
Keep work organised and visible across the transformation portfolio
Help prioritise work, highlight dependencies and ensure everyone understands what's happening and what comes next.
Some of your responsibilities will include:
Proactively manage the CTO's diary, inbox and priorities to optimise executive focus, sequencing of work and decision readiness.
Triage correspondence and requests, exercising sound judgement, confidentiality and enterprise thinking when managing competing priorities.
Anticipate upcoming commitments, key decision points, dependencies and risks and prepare the CTO for all engagements through high-quality briefings, clear context and forward visibility of issues.
Coordinate executive meetings and forums end-to-end, including agenda design aligned to outcomes, preparation of materials and pre-reads, stakeholder alignment ahead of meetings, and clear capture of decisions, actions and accountabilities
Transformation Office Coordination
Act as the coordination hub for Transformation Office, supporting the effective running of meetings, governance forums, planning cycles and reporting rhythms.
Optimise and maintain disciplined meetings cadence across the Transformation Office, including pre-read discipline, clear agendas linked to outcomes, accurate capture and prompt circulation of minutes, decisions and actions, structured post meeting action tracking and flow of information between forums
Support ePMO with timely consolidation of portfolio inputs, consistent formatting, version control and quality assurance of artefacts and alignment across initiatives to a single source of truth in Monday.com
Support transformation reporting cycles by coordinating inputs across teams and initiatives, ensuring consistency of messaging and data quality and maintaining structured and traceable records of outputs

Your experience shall align with
Advanced capability in executive coordination, workflow management and governance support within complex, fast-paced environments.
Highly developed planning, prioritisation and organisational skills, with the ability to manage competing demands, anticipate needs and maintain disciplined follow-through.
Strong judgement, discretion and confidentiality, with the ability to operate effectively in a high-trust executive environment and apply an enterprise-wide perspective.
Excellent written communication skills,
including the ability to prepare, refine and quality assure succinct briefing papers, presentations, meeting materials, governance packs and other executive-level documents.
Strong stakeholder engagement skills, with the ability to build trusted relationships, facilitate alignment and work effectively across executive, portfolio and cross-functional teams.
Demonstrated ability to coordinate meetings, governance forums, workshops and engagement activities, ensuring clear objectives, high-quality preparation and effective action tracking.
High attention to detail and strong information management capability, including accurate capture of decisions, actions, dependencies and risks, with disciplined record keeping and version control.
Digital-first mindset with advanced proficiency in Microsoft 365 and contemporary project and workflow tools, with the ability to use AI-enabled tools to improve efficiency and quality
Strong understanding of portfolio coordination and transformation environments, including the ability to support reporting rhythms, cross-team dependencies and delivery discipline.
