provides customised design and project management solutions within the high-end residential construction market, including insurance rectification works for major insurers. We are seeking an organised and proactive Construction and Workflow Administrator to strengthen contract administration, documentation control and project workflow visibility across our team.
THE ROLE
Working closely with the Assistant Project Manager, Project Manager, Accounts and front-end administration, you will help ensure that each project is properly established, documented and progressed through PRIME from approved job handover to invoice readiness.
KEY RESPONSIBILITIES
Establish and maintain accurate project records in PRIME, including stages, responsible owners, key dates, notes and supporting documentation.
Administer approved job handover, contracts administration, prestart, variation, sign off and invoice support checklists.
Prepare building contracts and associated client documentation in conjunction with the responsible Manager.
Prepare and submit Domestic Building Insurance applications and maintain the required supporting records.
Create and maintain project office folders and site documentation in accordance with company requirements.
Monitor workflow ageing, outstanding actions and incomplete documentation, and follow up the relevant staff member or trade.
Maintain registers for contracts, prestart requirements, variations, sign off documentation and invoice support.
Coordinate the collection of required trade documentation, approvals,
photographs and completion evidence.
Support variation administration by ensuring scope, pricing, approvals and supporting documents are complete and recorded.
Compile complete invoice support packs for Project Manager confirmation and handover to Accounts for invoicing.
Participate in daily coordination with the Assistant Project Manager and prepare workflow exceptions for regular Project Manager reviews.
Provide practical administrative support to Managers where required, while maintaining focus on project workflow and documentation control.
WHAT SUCCESS LOOKS LIKE
PRIME accurately reflects the current stage, owner, status and next action for each assigned project.
Contracts, insurance, prestart, variation and sign off documentation are complete before the project moves to the next stage.
Overdue actions and documentation gaps are identified early, followed up and reported clearly.
Invoice support is complete, traceable and provided to Accounts without unnecessary delay or rework.
Project staff have reliable administrative support without ownership of operational or commercial decisions becoming unclear.
ABOUT YOU
At least two years' experience in contracts administration, construction administration, project administration or a similar role.
Practical knowledge of residential building contracts, Domestic Building Insurance and construction documentation.
Strong organisational skills with the ability to manage competing deadlines and follow through on outstanding actions.
A disciplined approach to data accuracy, document control, checklists and process compliance.
Explicit and professional written and verbal communication skills, including confident follow-up with clients, staff and trades.
Sound problem-solving skills and the judgement to identify when an issue requires escalation.
Strong Microsoft Office skills, particularly Outlook, Word and Excel.
Experience with PRIME or another construction workflow or project management system is preferred, but not essential.
A collaborative, reliable and professional approach suited to a small, close-knit team.
