Position Purpose The National Service Operations Coordinator is responsible for coordinating the day-to-day operational activities supporting the Equipment and Automation business across Australia.
The role ensures efficient scheduling of service resources, workforce planning, inventoyr control, logistics coordination, invoicing administration, reporting and customer service support.
In this role, you will work closely with our Service Engineers, Sales, Applications, Supply Chain, Finance, and customers.
This role will also support the successful delivery of equipment installations, maintenance activities, spare parts management, and service projects while ensuring high levels of customer satisfaction, operational efficiency and data accuracy.
What You'll Do Service Operations Coordination Coordinate national scheduling of Service Engineers to optimize customer responsiveness and resource utilization Manage service calendars, technician allocation and work priorities.
Support workforce and resource planning by maintaining technician schedules, capacity plans, utilization reporting, and workload forecasts.
Coordinate equipment installations, commissioning activities, preventative maintenance visits, and service callouts.
Liaise with customers regarding service appointments, site requirements, and operational updates.
Facilitate communication between Sales, Applications, Service, Supply Chain, and customers to ensure successful project execution.
Track open service activities to ensure completion within agreed timeframes.
Monitor service delivery KPIs and prepare operational performance reports.
Maintain accurate equipment records, service histories, and customer information.
Inventory Spare Parts Management Coordinate national spare parts inventory to ensure adequate stock availability.
Monitor inventory levels and initiate replenishment activities as required.
Work closely with Supply Chain and vendors to support timely procurement and delivery of parts.
Track inventory movements and ensure accurate system transactions.
Identify opportunities to reduce inventory costs while maintaining service performance.
Support stocktakes and inventory reconciliation activities.
Maintain equipment and spare parts master data within company systems.
Logistics Management Coordinate transport and logistics activities for equipment, spare parts, and service materials.
Track deliveries and proactively manage logistics issues impacting customers or field service activities.
Work with third-party logistics providers and suppliers to ensure timely execution of deliveries.
Support installation projects through effective coordination of equipment movements and site requirements.
Invoicing Administration Coordinate invoicing activities for service work, spare parts, and equipment-related activities.
Ensure accurate creation and processing of purchase orders, service orders, and invoices.
Monitor completion of service documentation to support timely customer billing.
Assist with resolving invoice discrepancies and customer queries.
Support monthly reporting requirements, forecasting activities, and operational reviews.
Maintain accurate records within SAP and other business systems.
Prepare management reports relating to scheduling, service performance, inventory, costs and operational metrics.
Continuous Improvement Identify opportunities to improve operational processes, systems, scheduling efficiency, and customer service.
Support implementation of new tools, technologies, and process improvements across the Equipment and Automation business.
Contribute to data accuracy initiatives involving equipment master data, service records, forecasting, and reporting.
Participate in cross-functional projects that improve business performance and customer experience.
Service Administration Respond to customer service enquiries and coordinate follow-up actions.
Provide customers with updates regarding service schedules, parts availability, and installation activities.
Maintain service documentation and customer records.
Person Profile / Attributes / Experience Experience in service coordination, workforce planning, logistics, supply chain, operations, or customer service.
Experience within manufacturing, industrial, packaging, engineering, or technical services environments preferred.
Strong planning, scheduling,
and organizational skills.
Experience coordinating multiple stakeholders and competing priorities.
Strong customer service orientation and communication skills.
Proficiency in Microsoft Office applications, particularly Excel.
Experience with SAP or similar ERP systems preferred.
Ability to analyze operational data and generate meaningful reports.
High attention to detail and accuracy.
Comfortable working within a matrix organization and cross-functional setting.
