About the role
An opportunity exists for a highly organised and experienced Executive Officer to work directly with the Chief Executive Officer, providing high-level executive, administrative and strategic support.
Reporting to the CEO, this role is responsible for supporting the efficient operation of the CEO's office, managing workflow into and out of the office, and helping ensure the CEO is prepared for strategic decisions, board meetings, stakeholder engagements and key organisational priorities.
The Executive Officer will act as a trusted and confidential support to the CEO, assisting with the development of briefings, communications, board papers, presentations and action plans. The role will also provide executive and administrative support to the Board, Board Sub-Committees, Chief of Staff and Senior Leadership Team.
This position requires strong judgement, discretion, excellent communication skills and the ability to manage competing priorities in a fast-paced and purpose-driven setting.

Key Responsibilities (Including but not limited to)
Provide high-level executive and administrative support to the CEO, including diary management, correspondence, meeting coordination, travel, accommodation and expenses
Manage workflow into and out of the CEO's office,
ensuring urgent, sensitive and high-priority matters are appropriately prioritised
Review, analyse and synthesise reports, submissions, policy briefings and other materials to support CEO decision-making
Draft high-level communications, board papers, presentations, meeting papers, speeches and advocacy materials
Support the CEO with strategic preparation for board meetings, stakeholder engagements and key organisational forums
Coordinate meetings including monthly staff meetings, managers' quarterly meetings, strategy sessions, workshops and other forums as required
Provide administrative and governance support to the Board and Board Sub-Committees, including organising meetings, preparing agendas, coordinating papers, taking minutes and tracking meeting actions
Support the Chief of Staff and Senior Leadership Team with meetings, functions, documentation and administrative requirements
Lead or support cross-functional projects and high-priority initiatives on behalf of the CEO
Track actions arising from executive, board and stakeholder meetings and follow up with relevant parties to support timely completion
Act as a professional liaison point for internal and external stakeholders, including board members, government representatives, donors, community leaders, partners and sector contacts
Coordinate reporting to the Legacy Club Services Board, National Office and other stakeholders as required
Support the organisation of board, executive, fundraising, events, ceremonies and large social events as required
Maintain effective office procedures, document control, filing systems and administrative processes
Support a child safe culture and adhere to child safety, health and safety policies, practices and reporting requirements
Undertake projects and ad hoc duties as required
Proven ability to analyse complex information, synthesise data and prepare high-level briefings, board papers and strategic advice for executive decision-makers
Exceptional written and verbal communication skills, including experience drafting minutes, executive correspondence, speeches, presentations and advocacy materials for diverse audiences
Demonstrated experience managing competing priorities, tracking actions and supporting the delivery of projects or high-priority initiatives in a fast-paced environment
Advanced interpersonal and stakeholder engagement skills, with the ability to build trusted relationships with senior leaders, board members, external partners and community stakeholders
Strong judgement, discretion and the ability to manage highly confidential and sensitive information
Excellent planning, organisation and time management skills, with strong attention to detail
High-level Microsoft 365 capability and confidence using technology to support executive, board and meeting processes
Current Working with Children Check and National Police Check, or willingness to obtain
Highly Regarded
Previous Executive Assistant or Executive Officer experience supporting a CEO or senior executive
Minimum 2–4 years' experience supporting senior management positions
Experience working within the not-for-profit sector and/or an understanding of governance, compliance and stakeholder reporting
Experience implementing or supporting board meeting technology, CRM systems or AI-enabled productivity tools
Previous experience in Defence or a Defence-related industry
Flexibility to work outside standard business hours where required for key deadlines, board and committee meetings, executive meetings and events
