Team Leader – Wiluna Peoples Trust
Wiluna Peoples Trust is seeking an organised, reliable, and community-focused Team Leader to support the delivery of Trust operations, beneficiary services, program assistance, property management, and administrative functions.
The Team Leader will play an important role in coordinating day-to-day Trust activities, supporting beneficiaries, maintaining accurate records, processing assistance applications, monitoring beneficiary expenditure, and ensuring Trust systems and processes are effectively managed. The role will also assist with the oversight of Trust properties, Advisory Committee meeting preparation, and operational requirements of the Wiluna Peoples Trust.
Key Responsibilities
- Coordinate day-to-day administrative activities and operational requirements of the Wiluna Peoples Trust.
- Respond to incoming phone calls, emails, and enquiries from beneficiaries, community members, stakeholders, and service providers as required.
- Provide timely and respectful assistance, information, and referrals in response to beneficiary enquiries and requests.
- Support client services to liaise with beneficiaries to collect information, respond to enquiries, and assist with requests for support.
- Process applications for Trust programs and beneficiary assistance, ensuring applications are complete, accurately recorded, and managed in accordance with Trust processes.
- Maintain accurate records of beneficiary applications, approvals, payments, and supporting documentation.
- Monitor and track beneficiary expenditure to ensure assistance provided is accurately recorded and reported.
- Collect, maintain, and update information within Trust databases and record management systems.
- Review records for accuracy and ensure information is current, complete, and appropriately stored.
- Retrieve records, prepare documentation, and provide information to support Trust operations and decision-making.
- Prepare digital materials, reports, and files for internal use, meetings, or printing as required.
- Provide administrative support to Trust representatives, staff, and stakeholders as required.
- Support the Trustee and finance department with Trust-related enquiries, documentation, and operational tasks.
- Assist with the management of Wiluna Peoples Trust properties, including coordinating maintenance, repairs, refurbishments, inspections, and property-related matters.
- Maintain property records and assist with monitoring Trust assets and property requirements.
- Assist with the preparation and coordination of Advisory Committee meetings, including logistics and documentation for Perth and On-Country meetings.
- Provide guidance and coordination to junior staff as required to support completion of operational tasks.
- Undertake other duties and ad-hoc tasks as required to support the objectives of the Wiluna Peoples Trust.

The successful applicant will be organised, dependable, and able to manage a range of administrative and operational responsibilities. You will have solid attention to detail, excellent communication skills,
and the ability to build respectful relationships with beneficiaries, stakeholders, and community members.
You will be confident communicating with people over the phone, in person, and in writing, with the ability to handle enquiries professionally and maintain confidentiality. You will have the ability to work independently, manage competing priorities, and contribute positively to the delivery of Trust services and programs.
Experience working with Aboriginal communities, community organisations, trusts, or not-for-profit organisations will be highly regarded.
Skills and Experience
- Demonstrated experience in administration, coordination, community services, or a similar operational role.
- Experience responding to enquiries, providing information, and assisting community members or clients.
- Experience processing applications, maintaining records, and managing confidential information.
- Experience monitoring expenditure, payments, budgets, or financial records.
- Strong organisational skills and the ability to manage multiple priorities.
- Experience with databases, reporting systems, and electronic records management.
- Experience coordinating property, asset, maintenance, or refurbishment activities.
- Strong written and verbal communication skills.
- Ability to work respectfully and effectively with beneficiaries and stakeholders.
- Commitment to confidentiality, accuracy, and culturally appropriate service delivery.
