Impact Refrigeration & Electrical is seeking an organised and capable Administration assistant to join our Toowoomba team.

This position suits someone who is professional, organised and confident managing a busy workload while providing strong administrative support to our technicians, management team and customers.

Experience within the electrical, air-conditioning, construction or trade services industries would be highly regarded, however is not essential.

About IMPACT

Impact Refrigeration & Electrical provides electrical, air-conditioning and refrigeration services across residential, commercial and industrial sectors throughout the Toowoomba region.

Our work ranges from residential service and installations through to commercial maintenance, insurance restoration, solar and battery systems, air-conditioning and refrigeration, and larger electrical and mechanical projects.

We work with established national organisations, builders, businesses, government and commercial clients, as well as residential customers throughout the region.

IMPACT operates to a clear set of professional standards. We place a strong emphasis on organisation, communication and ensuring our field team has the information and support required to deliver work efficiently.

Our administration team is an important part of this operation, coordinating customers, technicians, suppliers and projects while maintaining accurate information across the business.

The Role

Based from our office in the Toowoomba CBD, you will work closely with management, technicians and other administration staff to support the day-to-day operation of the business.

This is a varied position within a busy trade services environment. The role involves managing incoming enquiries, scheduling work,



communicating with customers, preparing job documentation and ensuring information moves efficiently between the office and our field team.

Day-to-day responsibilities will include:

- Answering incoming phone calls and customer enquiries
- Scheduling and coordinating technicians and service work
- Creating and managing jobs within Simpro
- Communicating with customers regarding bookings and job progress
- Preparing quotes, work orders and job documentation
- Processing completed jobs and preparing works for invoicing
- Reviewing technician notes, timesheets and material entries
- Liaising with suppliers, builders, insurers and commercial clients
- Ordering materials and following up supplier requirements
- Managing emails and general office correspondence
- Maintaining accurate customer, job and project records
- Assisting with accounts and general office administration
- Supporting management with day-to-day operational requirements
- Following up outstanding information to keep jobs progressing

The position requires someone who can comfortably manage multiple priorities and understands the importance of accurate information, clear communication and following tasks through to completion.

Our business operates through the Simpro job management system, which is used across scheduling, quoting, purchasing, job management and invoicing. Previous Simpro experience would be highly regarded,



although training can be provided for the right applicant.

- Has a practical approach to problem solvingTakes pride in keeping information accurate and organised
- Previous administration experience is preferred.
- Experience within an electrical, air-conditioning, construction, insurance or trade services business would be advantageous but is not essential.
