Due to continued growth, we are seeking a professional, organised and customer-focused Receptionist to join our Melbourne (Craigieburn) team. This role is the first point of contact for our business and plays an important part in supporting the day-to-day operations of the office while providing administrative assistance to the Victorian Sales Team.
Position Purpose
- Deliver a qualified and welcoming first impression to all visitors and callers.
- Provide exceptional customer service to internal and external stakeholders.
- Assist the Victorian Sales Team with administrative and sales support functions.
- Ensure the smooth day-to-day operation of the reception and office environment.
- Maintain accurate administration and support business operations efficiently.
Position Responsibilities
- Ensure own behavior complies with Clover Pipelines policies and legislative regulations.
- Provide a professional, positive and customer-focused experience to all visitors and customers.
- Answer and direct incoming telephone calls promptly and professionally.
- Welcome visitors and notify staff of their arrival.
- Manage incoming and outgoing mail, courier bookings and deliveries.
- Maintain meeting rooms, reception and common office areas to a high standard.
- Assist with general administration duties across the business.
- Maintain confidentiality of company and customer information.
- Support the Victorian Sales Team with administrative tasks and day-to-day coordination.
Operational Improvement
- Identify opportunities to improve administrative processes and office efficiency.
- Assist with implementing improved filing and document management systems.
- Maintain accurate records and ensure documentation is current and organised.
- Contribute ideas that improve customer service and internal workflows.
Daily Tasks of the Role Include but Are Not Limited To
- Answering and directing incoming calls.
- Greeting clients, suppliers and visitors.
- Managing reception, meeting rooms and office presentation.
- Coordinating incoming and outgoing mail and courier services.
- Assisting with the preparation of quotations, sales documentation and customer correspondence.
- Processing customer enquiries and directing requests to the appropriate team member.
- Assisting the Victorian Sales Team with data entry and maintaining customer records.
- Preparing reports, spreadsheets and presentations as required.
- Ordering office supplies and maintaining office inventory.
- Scheduling meetings and assisting with calendar management.
- Supporting onboarding administration for new employees when required.
- Filing, scanning and maintaining electronic and hard copy records.
- Assisting with company events, meetings and training coordination.
- Providing administrative support to management and other departments as required.
- Maintaining a clean, organised and professional reception area at all times.

Experience, Qualifications & Skills
- Previous experience in a Receptionist, Administration or Customer Service role.
- Excellent verbal and written communication skills.
- Strong computer skills with Microsoft Office Suite (Outlook, Word, Excel and Teams).
- Excellent organisational and multitasking abilities.
- Ability to work in a fast-paced environment.
- Strong attention to detail and accuracy.
