Order Fulfilment & Customer Service Coordinator - Chadstone

About the Role

As an Order Fulfilment & Customer Service Coordinator, you will be the key contact for managing customer orders end-to-end, ensuring a seamless experience from order entry through to delivery. You'll work closely with warehouse, logistics, supply chain, and account management teams to ensure everything goes to plan - accurately, on time, and with exceptional service.

You'll manage customer enquiries across email and phone, monitor stock availability, communicate lead times, and proactively address any issues impacting DIFOT performance.

Key Responsibilities

- Manage the full order fulfilment process, including proactive communication with customers and stakeholders
- Process customer orders and queries accurately to ensure Delivery in Full, On Time (DIFOT)
- Maintain accurate customer pricing, special conditions, and order notes
- Oversee the customer service & claims inbox, ensuring all enquiries are actioned promptly and professionally
- Partner with warehouse, logistics, and supply chain teams to resolve order-related issues




- Serve as the primary order management contact for your allocated accounts
- Identify and recommend process improvements to enhance order accuracy, efficiency, and customer satisfaction
- Work confidently and autonomously while contributing positively to a supportive team environment

What You Bring

- Proven experience in order fulfilment, 3PL order management, or structured customer service environments
- Strong stakeholder management skills, ideally dealing with foodservice accounts and major distributors
- SAP experience is essential
- Experience with EDI and MS Office applications
- Strong understanding of order fulfilment workflows and business processes
- Customer-centric mindset with excellent communication skills
- Ability to work under short lead times, manage workload peaks, and stay accountable
- Willingness to learn our processes and adapt to a new way of working
