Role DescriptionAn Accounts Assistant / Finance Assistant supports daily accounting and finance operations by maintaining accurate financial records, processing transactions, assisting with reconciliations, and providing administrative support to the finance team. The role helps ensure financial information is accurate, organized, timely, and properly documented.

Key responsibilities include processing invoices, bills, receipts, expense claims, purchase orders, and payment documentation; recording accounts payable and accounts receivable transactions; maintaining general ledger entries and supporting financial records; preparing and processing customer invoices and supplier payments; monitoring outstanding receivables and payables; assisting with bank, credit-card, supplier, and customer account reconciliations; reviewing financial transactions for accuracy, completeness, and proper documentation; investigating discrepancies and coordinating corrections where required; maintaining organized financial files, records, statements, invoices, receipts, and supporting documents; assisting with month-end and year-end closing activities; preparing basic financial reports, schedules, summaries, and management information; supporting cash-flow monitoring, expense tracking, budgeting, and financial analysis; assisting with payroll-related finance administration where applicable; entering and maintaining financial data in accounting systems, ERP platforms, spreadsheets, and finance databases; supporting tax, audit, compliance, and statutory reporting activities by preparing relevant records and documentation; coordinating with suppliers, customers, banks, employees, auditors,



and internal departments regarding financial matters; monitoring payment deadlines, invoice statuses, account balances, and outstanding items; assisting with purchase and expense verification; maintaining confidentiality of financial, employee, customer, and company information; supporting internal controls and established accounting procedures; using accounting software, cloud-finance platforms, automation tools, digital payment systems, and AI-assisted accounting technologies; preparing spreadsheets and performing basic financial calculations and data analysis; identifying opportunities to improve financial administration, transaction processing, reconciliation, and reporting workflows; and continuously improving financial-data accuracy, documentation quality, processing efficiency, and finance operations.

Qualifications

- Diploma or Bachelor's degree in Accounting, Finance, Business Administration, Economics, or a related discipline.
- Basic to strong understanding of accounting principles, bookkeeping, accounts payable, accounts receivable, general ledgers, and financial transactions.
- Good understanding of bank reconciliation, invoice processing, payment recording, expense management, and financial documentation.
- Familiarity with accounting software such as QuickBooks, Xero, Sage, SAP, Oracle, Microsoft Dynamics,



or equivalent systems.
- Positive Microsoft Excel skills, including formulas, sorting, filtering, spreadsheets, and basic financial functions.
- Strong attention to detail and accuracy when handling financial data and documentation.
- Basic understanding of financial statements, including income statements, balance sheets, and cash-flow statements.
- Knowledge of month-end closing, audit support, tax documentation, payroll administration, and financial controls is advantageous.
- Strong numerical, analytical, organizational, and problem-solving skills.
- Ability to identify discrepancies and investigate financial or transaction-related issues.
- Excellent time-management skills and ability to manage multiple invoices, payments, reconciliations, requests, and deadlines.
- Strong communication and coordination skills when working with customers, suppliers, banks, auditors, employees, and internal teams.
- Understanding of financial confidentiality, data security, internal controls, and record-retention practices.
- Familiarity with cloud accounting, electronic invoicing, digital payments, financial automation, and AI-assisted finance tools is advantageous.
- Knowledge of applicable accounting standards, tax requirements, and financial regulations is beneficial.
- Relevant accounting, bookkeeping, finance, QuickBooks, Xero, or professional certifications are advantageous.
- High level of integrity, reliability, confidentiality, accountability, and professionalism.
- Strong commitment to maintaining accurate financial records and continuously improving accounting and finance processes.
