The Prospect
OCU ANZ is seeking an experienced Hire Desk Manager to manage the end-to-end equipment hire function across the region. Based at our Willawong location, this role will coordinate equipment hire requirements across our businesses, working closely with project teams, suppliers, transport providers and internal stakeholders to ensure equipment is available when required and hire activities are managed accurately and efficiently.
This is a key operational role that will help drive consistency across our regions hire processes, improve visibility of equipment movements and costs, and provide proactive support to project delivery teams.
The successful candidate will be highly organised, commercially aware and confident managing multiple priorities in a fast-paced construction and infrastructure environment.
About the Role The Hire Desk Manager will oversee the day-to-day hire desk function, ensuring equipment movements, bookings, documentation, invoicing and reporting are managed efficiently across the Group.
Working across multiple projects and business units,
you will be responsible for coordinating internal and external equipment requirements, managing supplier relationships and ensuring accurate records are maintained throughout the hire lifecycle.
Key Responsibilities
- Manage the end-to-end equipment hire process, including pre-hire inspections, asset photography, on-hires, off-hires, transfers and return condition inspections
- Coordinate transport and logistics requirements for equipment movements between projects and locations
- Manage project damage assessments and support recovery processes where required
- Forecast equipment requirements and support project teams with external equipment hire needs
- Provide booking support and guidance to project teams to maximise efficient equipment utilisation
- Manage hire invoicing, reporting and month-end processes, including reconciliation of hire records and timesheets
- Maintain accurate equipment documentation and hire records, including risk assessments, registrations, service history and compliance documentation
- Monitor and action the Hire Desk shared mailbox, ensuring requests are managed efficiently and within required timeframes
- Maintain accurate records of equipment movements, hires, returns and transfers
- Support reporting on hire activity, costs and utilisation, identifying opportunities to improve efficiency and reduce unnecessary hire expenditure
- Build and maintain strong relationships with equipment hire suppliers and transport providers
- Work closely with project teams and internal operational functions to understand upcoming equipment requirements
- Assist with developing and implementing consistent hire desk processes across the OCU ANZ Group
- Identify opportunities to improve systems, processes and reporting within the hire function
Key Skills and Experience
- Previous experience in equipment hire, fleet coordination, logistics, construction operations or a similar role
- Experience within construction, infrastructure, mining, energy or a related industry is highly desirable
- Strong understanding of equipment hire processes, logistics and supplier coordination
- Excellent scheduling, coordination and organisational skills
- Ability to manage multiple projects, priorities and stakeholders in a fast-paced environment
- Strong attention to detail and a high level of accuracy
- Experience with asset, fleet, hire or ERP management systems
- Strong financial and administrative skills, including experience with invoicing, reconciliations and reporting
- Excellent communication and relationship management skills
- Ability to work collaboratively with project teams, suppliers and internal stakeholders
- Strong problem-solving skills and a proactive approach to identifying solutions
- Ability to work autonomously while contributing to a wider Group function
- Strong commitment to safety, compliance and operational excellence
- Forklift Licence desirable
