Role Description The Office Manager role at Mindteck is a full-time, on-site position based in Penang, Malaysia. This role is responsible for overseeing daily office operations, including coordinating administrative tasks, managing office supplies and equipment, and ensuring a well-organized, efficient work environment.
The Office
Manager will handle reception duties, support visitor and client interactions, and collaborate with internal teams to schedule meetings, maintain records, and assist with basic HR and finance-related documentation. The role includes monitoring facility needs, liaising with vendors and service providers, and enforcing office policies and procedures.

Office Management / Workplace Services / Facilities
We are looking for an experienced and proactive Office Manager to oversee day-to-day workplace operations, facilities, and employee workplace experience in a fast-growing corporate environment in Sydney.
? Key Responsibilities
- Manage daily office operations, front desk, mailroom, office supplies, amenities, and workplace experience.
- Manage landlords, building management, vendors, and contractors.
- Track vendor SLAs/KPIs, contracts, SOWs, invoices, POs, and operational spend.
- Coordinate cafeteria/catering, cleaning, MEP, security, and other workplace services.
- Act as the local Physical Security SPOC, supporting access control, badge management, visitor management, CCTV, and security incidents.
- Support workplace safety, emergency preparedness, evacuation drills, crisis management, and business continuity.
- Manage local operating budgets, vendor quotations, invoice matching, and expense forecasting.
- Partner with HR, Talent Acquisition, IT, AV, Procurement, Logistics, and local leadership on workplace initiatives.
- Support office moves, expansions, space optimization, employee onboarding, and workplace events.
✅ Requirements
- 5+ years of experience in Office Management, Workplace Services, or Facilities Management.
- Experience in a corporate/MNC or technology environment is preferred.
- Knowledge of Sydney/Australia building management, vendors, and workplace safety practices.
- Experience in vendor management, budgeting, POs, invoices, and facilities operations.
- Exposure to physical security, access control, emergency response, and evacuation drills.
- Strong communication, stakeholder management, negotiation, and problem-solving skills.
- Proficiency with Google Workspace, Slack, Zoom, ServiceNow, or similar workplace tools.
- Proactive, highly organized, and service-oriented mindset.
