Where the role fits
This role sits within Karista's Platform & Engineering function, responsible for the systems that power:
- Participant onboarding and intake
- Provider matching, capacity and availability
- Referral orchestration and execution
- Revenue, billing, and partner workflows
- Internal operations, analytics, and AI-enabled decision support
Salesforce is a core system of record and execution engine at Karista, tightly integrated with our Python-based backend, AWS infrastructure, and AI services.
As a Salesforce Administrator, you will own the day-to-day configuration, health, and usability of Karista's Salesforce org—ensuring it stays reliable, secure, and easy to work with as the platform grows. You'll work closely with senior engineers and product teams, and gain exposure to complex systems including AI integrations, backend services, and large-scale workflow automation.
What the role is all about
Configuration & delivery
- Build and maintain declarative Salesforce solutions across Service Cloud, custom objects, Flows, page layouts, and record types.
- Improve Salesforce-based workflows—particularly in referral automation, provider operations, and billing—using Flow Builder and native automation tools.
- Manage users, profiles, permission sets,
roles, and sharing rules to keep access accurate and secure as teams grow.
Data & systems management
- Own data quality: deduplication, validation rules, data loads/exports, and field-level governance.
- Support integrations between Salesforce, backend APIs, AWS services, and external partner systems, working with engineers on requirements and configuration (e.g. native connectors, External Services).
- Ensure Salesforce fits cleanly into Karista's broader system architecture (Salesforce ↔ Django ↔ AWS ↔ AI), flagging configuration considerations early.
Operational excellence
- Manage sandbox environments, change sets, and release coordination for Salesforce updates.
- Monitor system health, storage, and limits (API, licenses, storage); proactively address technical debt and risk.
- Maintain clear documentation of business processes, configurations, and change history.
- Ensure solutions are auditable and compliant with healthcare and privacy expectations (PII-aware systems).
Collaboration & support
- Work closely with product, operations, data, and engineering teams to translate real-world care workflows into reliable, well-configured systems.
- Act as the first point of contact for Salesforce user support, training, and troubleshooting.
- Build reports and dashboards that give the business visibility into referrals, provider capacity, and billing performance.
Who we're looking for
Essential experience
- 3+ years administering Salesforce in agile environments, including exposure to moderately complex orgs.
- Strong expertise in:
- Flow Builder and native automation patterns
- Salesforce security model (profiles, permission sets, sharing rules, roles)
- Data management (Data Loader, duplicate rules, validation rules)
- Reports, dashboards, and page layout configuration
- Experience supporting integrations (REST/SOAP APIs, webhooks) from a configuration/requirements perspective.
- Familiarity with sandbox/change set release processes, or willingness to learn.
- Comfortable working in data-heavy, process-driven systems where correctness matters.
Highly regarded
- Experience with Salesforce CPQ, billing, or revenue workflows.
- Salesforce certifications (Administrator, Advanced Administrator) or AWS certifications.
- Basic familiarity with Apex/LWC sufficient to collaborate effectively with developers (not required to build).
