Broome Regional Aboriginal Medical Service (BRAMS) is a well-established Aboriginal Community Controlled Health Organisation that has been supporting the Broome community for over 40 years.
Headquartered in Broome, Western Australia, BRAMS provides holistic, culturally safe primary healthcare, aged care, and community programs to Aboriginal people throughout the Kimberley region.
With a strong focus on person-centred, trauma-informed, and culturally responsive care, BRAMS delivers services designed around the needs of Aboriginal individuals and families.

About the Role
BRAMS is looking for an experienced Executive Assistant to join our Business Services team.
Reporting to the Chief Executive Officer, you'll manage the day-to-day operations of the CEO's office — including diary and calendar management, correspondence, meeting preparation, travel coordination and executive administration.
Alongside core executive support, you'll provide secretariat and administrative support to the Board and Executive Management Team — coordinating meetings, preparing and distributing papers, taking accurate minutes and following up agreed actions.
It's a role for a highly organised, detail-oriented and proactive professional who can manage competing priorities, exercise sound judgement and operate with discretion in a complex regulatory environment.
What you'll do:
Proactively manage the CEO's diary, scheduling and priorities to ensure alignment with strategic and operational commitments.
Act as the central coordination point for the CEO's office, triaging requests, managing competing demands and determining matters requiring escalation, delegation or direct CEO attention.
Prepare high-quality briefing papers, Board papers, executive reports, submissions and correspondence on behalf of the CEO, ensuring accuracy, clarity and alignment with governance standards.
Coordinate all travel, accommodation, itineraries and logistics for meetings, conferences, site visits and official functions.
Prepare the CEO for internal and external engagements by compiling background materials, speaking notes and relevant documentation.
Manage incoming and outgoing correspondence for the CEO, drafting responses, prioritising matters and following up as required.
Provide comprehensive secretariat support to the Board of Directors, including scheduling meetings, preparing agendas, collating and distributing Board papers, and recording accurate minutes.
Maintain and monitor Board and executive action registers, ensuring resolutions, decisions and follow-up actions are tracked, assigned and progressed on time.
Coordinate Executive Management Team and other senior meetings, including agendas, papers, minutes and systematic follow-up of agreed actions.
Act as the primary coordination point for the CEO's engagement with internal and external stakeholders, including government agencies, funding bodies and partner organisations.
Maintain robust record and document management systems within the Executive Office, ensuring information is accurate, secure, retrievable and compliant.
Maintain strict confidentiality and professional discretion in all matters, including sensitive personnel, governance, legal and funding-related information.
About You
To be successful in this role, you must address the following selection criteria in your cover letter:
Essential:
Minimum of three (3) years' experience in an executive or administrative support role, preferably supporting a CEO, Board or Executive Team.
Demonstrated experience providing secretariat support, including preparation of Board or committee papers, agenda coordination, accurate minute taking and maintaining action registers.
Proven ability to coordinate and track actions, deadlines and deliverables across multiple competing priorities.
Excellent written and verbal communication skills, with demonstrated ability to prepare clear, high-quality correspondence, reports and presentations.
Strong organisational and time management skills,
with the ability to manage multiple priorities and meet tight deadlines.
High level of professionalism, discretion and sound judgement when handling confidential or sensitive matters.
Strong relationship management skills and ability to work effectively with diverse internal and external stakeholders.
High level of computer literacy, including Microsoft Office and document management systems.
Qualification in business administration, office administration or a related discipline, or equivalent relevant experience.
Understanding of Aboriginal Community Controlled Health Services and commitment to cultural safety and community values.
Desirable:
Experience supporting implementation of Strategic or Operational Plans in a health, community or not-for-profit organisation.
Familiarity with electronic document, records or quality management systems (such as LOGIQC).

You are able to work independently while maintaining strong collaboration with others, and you stay adaptable and calm under pressure, with strong problem-solving skills.
