About the roleWe are seeking a Service Administrator to join the Ibis Water team on a full-time, 12+ month contract, based at our Canning Vale, WA location.
This is a pivotal role that provides essential support to our operations, ensuring smooth day-to-day functioning, and exceptional customer service delivery.
The Service Administrator is instrumental in coordinating services, managing communications, and maintaining accurate records that support our operational excellence.
What you'll be doing
Processing and managing service requests, enquiries and complaints in a timely and professional manner
Maintaining accurate and organised records of all service activities, customer interactions and documentation
Responsible for billing and invoicing processes
Inputting and updating information in relevant computer systems and databases
Providing administrative support to the service team, including preparing reports and compiling data
Managing customer communications via phone, email and other channels to ensure satisfaction and resolve issues promptly
Liaising between customers and service technicians to ensure clear communication and successful job completion
Coordinating and scheduling service appointments and maintenance visits for customers
Assisting with general office duties including filing, photocopying and mail management
Some warehousing, including forklift operation, for which training will be provided
What we're looking for
Proven experience working in an administrative or office support role, preferably within a service-oriented environment
Strong organisational and time management skills with the ability to manage multiple tasks and prioritise effectively
Excellent communication skills, both written and verbal, with a professional and courteous demeanour
Proficiency with Microsoft Office applications
Familiarity with MYOB, or other accounting software, is preferable, but not essential
Attention to detail and accuracy in record keeping and data entry
Strong customer service orientation with the ability to handle customer interactions professionally
Problem-solving ability and a proactive approach to identifying and resolving issues
Reliability and punctuality with a commitment to meeting deadlines
A collaborative team player who works well with others and contributes positively to the workplace
