Program or Project Administrator - Talking Rubbish Waste Management Pty Ltd
Talking Rubbish Waste Management Pty Ltd is a growing waste management and recycling services company providing sustainable site recycling solutions across Australia. As our operations continue to expand, we are seeking a motivated and organised Project Administrator to support our recycling and waste management operations. The role will provide administrative and coordination support to project managers, site teams, contractors, suppliers and customers, including maintaining project records, schedules, reports and compliance documentation. The successful candidate will assist with project planning, monitoring deadlines, coordinating resources, preparing reports and ensuring smooth communication between stakeholders. Robust organisational, communication and time-management skills are required, with experience in project administration, waste management, recycling, logistics or a similar industry highly regarded.
Role Overview:
This is a full-time position responsible for providing administrative and coordination support across multiple projects and operational programs. The role requires strong organisational, communication, and stakeholder management skills to ensure projects are delivered efficiently, on time, and in accordance with business objectives.
Key Responsibilities:
1. Advising senior management on matters requiring attention and implementing their decisions
2. Overseeing work by contractors and reporting on variations to work orders
3.
Preparing and reviewing submissions and reports concerning the organisation's activities
4. Collecting and analysing data associated with projects undertaken, and reporting on project outcomes
5. Reviewing and arranging new office accommodation
6. Manage waste, recycling, and environmental projects from planning to completion while meeting objectives, contracts, and deadlines.
7. Develop project plans, work schedules, procedures, and resource strategies for waste operations.
8. Coordinate operations, engineering, procurement, finance, environmental, HSE, fleet, maintenance, and site teams.
9. Monitor project progress, identify delays and risks, and implement corrective actions.
10. Prepare management reports, performance analyses, budgets, risk assessments, waste-volume reports, and dashboards.
11. Ensure compliance with company policies, contracts, environmental regulations, HSE requirements, and statutory requirements.
12. Provide administrative and operational support to senior management for planning, efficiency, and continuous improvement.
13. Support initiatives to increase recycling and material recovery, reduce landfill disposal, optimise resources, and improve sustainability
14. Identify operational, environmental, contractual, and commercial risks and recommend mitigation measures.
15. Improve document management, digital record-keeping, waste tracking, and administrative processes.
16. Organise meetings, prepare agendas and minutes, and monitor agreed actions.
17. Supervise administrative and project staff, allocate responsibilities, and monitor performance.
