6-month contract | 3 days per week
We are looking for an experienced HubSpot CRM & Website Optimisation Professional to help us strengthen, optimise and establish best-practice use of our existing HubSpot platform.
This is a hands-on role for someone who understands how HubSpot should works across CRM, marketing automation, website/CMS, reporting and multiple customer journeys (internal & external customers) — and who can turn that knowledge into practical, scalable systems our team can confidently manage into the future.
Working approximately three days per week for a six-month period, you will review our existing HubSpot environment, identify opportunities for improvement and implement solutions that improve data quality, marketing effectiveness, user experience and internal processes.
A major focus of the role will also be creating clear standard operating procedures, governance and documentation so that best-practice HubSpot management becomes embedded across the organisation.
What You’ll Be Responsible For
- Review and optimise our existing HubSpot CRM and website environment.
- Conduct an audit of current HubSpot configuration, processes and opportunities for improvement.
- Improve CRM structure, including contact properties, lifecycle stages, pipelines, segmentation and database management.
- Build, review and optimise workflows and marketing automations.
- Support ongoing optimisation of the HubSpot CMS and website.
- Establish best-practice approaches to data quality, database hygiene and CRM governance.
- Review integrations between HubSpot and other business platforms and identify opportunities to improve data flow and efficiency.
- review and align dashboards and reporting that provides meaningful marketing, customer and business insights.
- Identify opportunities to simplify processes and reduce unnecessary manual administration.
- Document HubSpot processes and create practical Standard Operating Procedures (SOPs) for ongoing use.
- Establish clear governance around how HubSpot should be managed, maintained and developed.
- Provide guidance and knowledge transfer to internal team members.
- Work collaboratively with TTHA business unit stakeholders to translate business requirements into practical HubSpot solutions.
About You
You will be someone who enjoys getting into the detail of a HubSpot environment while also understanding the bigger picture of how CRM, marketing and customer experience fit together.
Ideally, you will have:
- At least 3 years of hands-on experience working with HubSpot.
- Demonstrated experience administering and optimising HubSpot CRM.
- Strong experience with HubSpot Marketing Hub and marketing automation.
- Demonstrated ability working within HubSpot in a consumer health setting would be an advantage.
- Experience working with HubSpot CMS and website functionality.
- Proven experience developing workflows, segmentation, lifecycle stages, properties and customer journeys.
- A strong understanding of CRM architecture, database management and data quality.
- Experience developing dashboards, reports and performance insights.
- Experience reviewing and improving existing HubSpot environments rather than simply maintaining them.
- Robust documentation skills, including the ability to develop practical SOPs and user guidance.
- An understanding of CRM governance and scalable system design.
- Strong analytical and problem-solving skills.
- Excellent attention to detail.
- The ability to work independently, identify opportunities and recommend solutions.
- Strong communication skills and the ability to work with both technical and non-technical stakeholders.
HubSpot certifications will be highly regarded but are not essential where you can demonstrate substantial practical experience.
This is an onsite role based in Bayswater, Victoria, requiring close collaboration with the Marketing team and hands-on training of end users
This role is initially offered as a 6-month contract, with the potential to transition to an ongoing position for the right person.
What Success Looks Like
By the end of the initial engagement, we want to have:
- A cleaner, more structured and reliable HubSpot environment.
- Improved CRM and database quality.
- More effective marketing automation and customer journeys.
- A better-connected website, CRM and marketing ecosystem.
- Clear lifecycle stages, segmentation and reporting.
- Improved visibility of marketing and customer performance.
- Reduced manual processes and unnecessary duplication.
- Documented HubSpot governance and best-practice processes.
- Practical SOPs that enable our internal team to confidently manage the platform.
- A prioritised roadmap for future HubSpot development and optimisation.
The Opportunity
This is an opportunity to take ownership of an established HubSpot setting and make a measurable difference to how the platform supports our marketing, customer experience and broader business operations.
You will have the opportunity to identify what is working, challenge what isn’t and implement practical improvements rather than simply maintaining the status quo.
