Administration Officer - Mental Health Re-Centre Team
The role of the Mental Health Administration Officer is to provide a comprehensive customer-focused service to both internal and external customers in relation to all aspects of an administration role.,
Core Responsibilities
- Answer patient phone calls and enquiries
- Manage appointment bookings, cancellations, and clinician schedules.
- Monitor and respond to emails and correspondence.
- Receive, process, and distribute referrals to the appropriate clinicians,
- Assist with medicolegal and clinical administration tasks.
- Maintain accurate and confidential patient records.
- Liaise with patients, clinicians, healthcare providers, and external stakeholders.
- Process invoices, payments, and other administrative transactions where applicable.
- Ensure the smooth day-to-day operation of the consulting suite, including reception duties, office administration, and general clerical support.
Administration Officer - Ward Clerk
As a Ward Clerk, you will provide frontline administrative support within a hospital ward, ensuring smooth daily operations, accurate patient records, and effective communication between clinical teams, patients, and families. The role is central to maintaining ward efficiency and supporting high‑quality patient care.
Core Responsibilities
- Manage patient admissions, transfers, discharges, and ward documentation.
- Maintain accurate patient records and update hospital information systems.
- Answer phone calls and respond to enquiries from staff, patients, and families.
- Liaise with nursing staff, doctors, allied health professionals, and other hospital departments.
- Prepare, file, and distribute medical records, correspondence, and reports.
- Monitor ward supplies and assist with general administrative duties.
- Support the effective day-to-day operation of the ward while ensuring confidentiality and accuracy of information.
The ideal candidate for both these roles will have strong multitasking skills, discretion, and the ability to remain calm, organised and professional under pressure.
Essential Criteria
- Experience in clerical duties preferably within a medical/hospital setting
- Knowledge of medical terminology and processes
- Competent keyboard and MS Office skills
- Excellent communication (both written and verbal) and interpersonal skills
- Time management and multitasking skills
- Customer focused mindset
- Healthcare workers must complete occupational assessment, screening and vaccination against specified infectious diseases. Evidence of compliance or valid medical exemption is required prior to commencement.
