Customer Service Coordinator / Scheduler – HVAC

Cold Front Air Conditioning is a HVAC business operating across SEQ, with almost 50 years in the industry. We're looking for an organised, detail-driven Service Coordinator to take ownership of the daily job flow across our technician and installation teams.

This is a busy, phone-heavy role where your ability to stay on top of multiple moving parts, make decisions and follow through will directly shape how smoothly the business runs day to day.

On a day-to-day basis, you will:
Manage Podium phones and a rapid-paced inbox — this is a customer-facing, phone-heavy role
Liaise with customers and clients via phone and email, handling bookings and general enquiries
Schedule and coordinate technician workloads to keep the team running efficiently
Keep job statuses accurate and current within SIMPRO
Chase up incomplete or unclear job notes with technicians for quality and accuracy
Follow up parts, suppliers and outstanding information to keep jobs on track
Complete daily invoicing




Keep technicians and office staff on the same page so nothing slips through the cracks

About you:

Decisive, with the confidence to follow through on your calls
Able to juggle multiple priorities calmly, even when things get busy
Reliable, professional and solutions-focused
A confident communicator, comfortable on the phone with customers and internal teams
Background in scheduling, coordination or dispatch (HVAC or trades experience highly regarded)
Familiarity with SIMPRO or similar job management software is a plus
