John Randall Consulting (JRC) is a growing civil engineering consultancy delivering land development, stormwater, water resources and civil infrastructure projects throughout the ACT and New South Wales.
As our business continues to grow, we are seeking a highly organised and proactive Executive & Engineering Administration Coordinator to support our Directors and engineering team.
This is a varied and rewarding position where no two days are the same.
You will work closely with our leadership team, helping to keep projects, proposals and the office running efficiently while providing professional support across administration, finance and business operations.
The position offers flexible part-time hours (approximately ***** hours per week) and would suit an experienced administrator seeking a long-term role with flexibility around family or other commitments.
About the Role
Reporting directly to the Directors, you will play an important role in supporting the day-to-day operation of the business and assisting our engineering team to deliver high-quality projects.
Your responsibilities will include:
Executive & Office Administration
Providing executive support to the Directors.
Managing calendars, meetings and correspondence.
Coordinating office administration and day-to-day business operations.
Maintaining office systems, registers and company records.
Managing incoming correspondence and client enquiries.
Engineering Administration
Preparing and coordinating fee proposals, tenders and capability statements.
Formatting, proofreading and quality-checking engineering reports,
specifications and project documentation.
Assisting with document control and project administration.
Maintaining company templates, quality management documentation and project filing systems.
Assisting engineers with preparing presentations and client submissions.
Finance & Business Support (Desirable)
Preparing client invoices and monitoring outstanding accounts.
Processing supplier invoices and coordinating payments.
Assisting with payroll and timesheet administration.
Maintaining financial records using Xero (or similar accounting software).
Supporting monthly reporting and general business administration.
Marketing & Business Development
Maintaining staff CVs, project profiles and capability statements.
Assisting with website and LinkedIn content updates.
Coordinating marketing material, proposal graphics and company presentations.
Supporting business development activities and client events.
About You
You are a highly organised professional who enjoys working in a collaborative workplace and takes pride in producing accurate, high-quality work.
You will ideally have:
Previous experience in executive administration, office management or professional services administration.
Excellent written and verbal communication skills.
Outstanding attention to detail and presentation.
Advanced Microsoft Office skills, particularly Word, Excel, Outlook and PowerPoint.
Experience using Adobe Acrobat Pro, InDesign and document formatting software.
Experience preparing qualified documents using Microsoft Word templates and styles.
Experience with Xero or similar accounting software (highly desirable).
The ability to manage multiple priorities and work independently.
Strong organisational and time management skills.
A friendly, positive and professional attitude.
Experience within an engineering, architecture, construction or consulting environment will be highly regarded but is not essential.
