Supercalla Private Properties is looking for a highly organised, confident and practical Property Care / Property Management Coordinator to help strengthen the way we care for our growing collection of premium holiday properties.
This is not a passive admin role. It is a high ownership role for someone who can bring order, calm and follow through to a busy holiday property environment.
As our collection grows, we need someone who can confidently coordinate repairs, trades, maintenance follow up, Property Partner communication and property care reporting.
The right person will be warm, practical, clear in writing, confident with people, confident with trades, and comfortable managing multiple moving parts at once.
About Supercalla
Supercalla Private Properties is a boutique holiday property management company caring for a collection of special properties across Berry, Jervis Bay, Kangaroo Valley, Kiama and Gerringong.
We combine property management, hospitality, guest experience, marketing, operations and care to create thoughtful stays for guests and strong relationships with our Property Partners.
Our properties are carefully selected, our standards are high, and our approach is personal.
About the role
Part Time | 3 Days Per Week
The Property Care / Property Management Coordinator will help manage the ongoing care, maintenance and improvement of the properties in our collection.
This is a permanent part time role, working three days per week.
This includes repairs, trades, quotes, Property Partner approvals, maintenance records, recurring property care items, reporting, Property Partner updates and support with new property onboarding.
This role will help connect the dots between what is happening on the ground, what needs to be followed up, what Property Partners need to know, and what the wider team needs visibility over.
What you will be doing

Managing repairs and maintenance items across the property collection
Coordinating trades, contractors and suppliers
Following up quotes, access, bookings and completed works
Tracking open maintenance jobs from start to finish
Seeking Property Partner approvals where required
Conducting regular property inspections
Preparing regular Property Partner updates and property care reports
Preparing internal updates for the directors and wider team
Identifying recurring issues and helping create longer term solutions
Supporting periodic maintenance and seasonal property preparation
Helping onboard new properties from a property care and operational perspective
Building strong working relationships with trades, contractors and Property Partners
Helping create clearer systems, reporting and follow up processes
What we are looking for
We are looking for someone who is extremely organised and confident managing lots of moving parts.
You will need to be comfortable speaking with trades, contractors, Property Partners and the internal team. You will also need to be confident enough to follow up, ask the right questions, push for answers and keep things moving.
The right person will be:
Highly organised
Practical and solutions focused
Calm under pressure
Confident communicating with Property Partners
Confident dealing with trades and contractors
Strong with follow up and record keeping
Clear and professional in written communication
Able to create useful updates,

reports and summaries
Comfortable managing multiple priorities
Warm, polished and professional
Positive at spotting patterns and recurring issues
Genuinely interested in helping create a stronger, better supported business
Experience that would be highly regarded
Experience in property management, real estate, holiday property management, facilities coordination, accommodation, maintenance coordination, operations or a similar role would be highly regarded.
Experience communicating with property owners, clients, suppliers, trades or contractors would be a strong advantage.
You do not need to come from the holiday rental industry, but you do need to understand property care, urgency, quality service, communication and follow through.
This role will suit you if
You are the person who naturally brings order to busy situations.
You follow up without being chased, communicate clearly, and feel confident dealing with trades, Property Partners and internal team members.
You enjoy solving practical problems, creating better systems, and making sure nothing important gets missed.
This role may not suit you if
You need every day to be predictable, prefer not to manage competing priorities, find it hard to follow people up, or are uncomfortable having direct but respectful conversations when something needs to improve.
Why join Supercalla
You will be joining a warm, ambitious and growing local business with a beautiful collection of properties and a strong reputation for care, quality and guest experience.
This is a chance to step into a meaningful role where your organisation, communication and property management skills will make a real difference.
For the right person, this is an opportunity to become a key part of Supercalla's next chapter.
