About the Role
:
The Reception/Administration Officer will coordinate front-desk activities, including welcoming and assisting visitors, contractors, and staff, answering and redirecting phone calls and emails, managing bookings, and processing mail requirements, as well as undertaking administrative tasks for the Archbishop's Office.
The Receptionist/Administration Officer will work in collaboration with the Office Manager to provide professional, efficient, and effective service to all internal and external stakeholders.
The Receptionist/Administration Office will undertake projects, research, and assist with the review of processes and systems and development of written procedures.
Key duties include:
Greet and assist visitors, including managing sign-ins at Front Reception
Handle incoming calls, emails, and general enquiries with professionalism and efficiency
Coordinate meeting room and car park bookings, and manage mail and courier services
Provide administrative support to the Archbishop's Office
Produce and distribute the weekly internal newsletter
Monitor office supplies and amenities, and run errands
Monitor and maintain requirements for meeting rooms, workrooms and kitchens
Assist with telecommunication requests
Assist in the development and documentation of new systems and procedures
Build positive relationships with Diocesan staff, parishes, and external stakeholders
About You
:
Minimum of three years' relevant experience in a similar role
High level interpersonal and communication skills, both written and verbal
Self-motivated with a proactive can-do attitude
High level organisational and time management skills
Intermediate technology skills including the use of Microsoft Office Suite
Great administrative skills and attention to detail
Demonstrated capacity to undertake basic research
Ability to anticipate and adapt to changing environments
Understanding of, and respect for, the ethos and values of the Catholic Church
