Job Description
UOW College Australia is a wholly owned subsidiary of the University of Wollongong.
Since ****, we have offered students an alternative entry to UOW through university preparation courses.
Our program offerings include Academic programs, English programs, and Vocational programs.
Our vocational programs are delivered across UOW College locations, including the UOW Liverpool Campus, where this role will support vocational administration, reporting, and compliance.
Fixed Term Full time - 38 hours/week
Vocational Administration & Reporting Officer

About the Role
The Vocational Administration & Reporting Officer, UOW College ensures the timely and accurate management of student data, financial records and compliance reporting for vocational education programs.
This role combines administrative support with technical expertise in data systems and government reporting requirements, contributing to UOW College's reputation for high-quality delivery and customer service.
Reporting to the Administration Manager and working closely with Program Managers, the RTO Manager, Finance and Compliance teams, external stakeholders, government agencies, training partners, students and vocational trainers, this onsite role is central to supporting the effective administration, reporting and compliance of vocational programs at the Liverpool Campus.
This is a fixed term full time backfill parental leave role.
Key Responsibilities
Maintain student database systems, including Axcelerate, accurately and in a timely manner, ensuring enrolments and course completions are processed correctly and data integrity is upheld.
Manage tuition fee invoicing, instalment plans, refunds, payment reconciliation and student financial information in accordance with College policies.




Complete regular and accurate reporting to agencies including DET, Smart & Skilled, EVET, VETSL, TCSI and AVETMISS within required deadlines.
Undertake audits of student records, assessments and trainer matrices to support compliance with ASQA standards and UOW College policies.
Support student lifecycle activities including enrolments, orientations, government funding eligibility checks, attendance and academic progress monitoring, appeals and exclusions.
Provide administrative support for Vocational Certificates and College courses delivered at the Liverpool Campus, including reception enquiries and CRM responses.
Selection Criteria
The successful candidate will have:
A relevant tertiary qualification or equivalent experience.
Knowledge of ASQA regulations and VET reporting requirements, including VSL, Smart & Skilled and AVETMISS.
Proficiency in database management, reporting and Microsoft Office applications.
Exceptional attention to detail, organisational skills and the ability to manage multiple priorities under pressure.
Ability to maintain strict confidentiality and operate with integrity and transparency.
Certified proof of right to work in Australia.
Desirable criteria include experience with UOW systems such as Axcelerate, SAI, SMP and CRM, finance experience related to fees and debtors, a driver's licence, and strong communication, negotiation and collaboration skills.
