have an excellent opportunity for an experienced
Senior
Project & Office Administrator
to join our team in Wollongong on a full-time basis.
About the role
This is an office based role.
You will be primarily responsible for
coordinating the project and office administration function across our business.
This is a critical role within our organisation, so you will be able to make it your own.
Your key duties will sit broadly across the following areas:
Executive admin
Provide PA support to management, both local in office and others remotely as required.
Email management for Wollongong Operations Manager, prioritising and actioning correspondence on their behalf
Coordination with other local consultants, meeting arrangements for the team
Project Administration
Preparation and distribution of project submissions and tenders
Maintenance of our project management system – Total Synergy
Survey plan printing, lodgement with relevant authorities and distribution (QLD & NSW)
Coordinate and book site inductions and medicals as per site requirements
Preparation of project invoicing and debt collection
General Administration
Coordination of operational travel for the wider team, including booking of flights, accommodation, and transport
Mail and freight collection/delivery coordination
Reception Duties as required
Provision of generalist administrative support across the business, supporting each of the regional offices as required
Core skills
• Strong organisational skills and ability to manage competing priorities across multiple offices
• Open to adopting current technologies and tools, including AI, to improve productivity and lift the volume and quality of work delivered
• Accurate, high-attention-to-detail data entry and document preparation
• Good problem-solving skills, with the ability to work through issues independently and know when to escalate
• Clear, professional written and verbal communication with staff and clients
• Comfortable working across accounts receivable and administrative/operational tasks
• Ability to follow, and help maintain, consistent document formatting and branding standards
• Experience with high level local tenders- potentially with planning experience (desirable)
Helpful background
• Intermediate skills within the Microsoft Office Suite
• Minimum of 4 years' experience in a similar role
• Certificate III in Business Administration or equivalent (desirable)
• Experience in a professional services organisation (highly regarded)
