About the Role:
We are seeking an
Event Coordinator
to join the team at Crowne Plaza Surfers Paradise.
This is an
office-based event coordination role
responsible for the planning, preparation, coordination, and administration of conferences, meetings, and social events from initial handover through to event delivery.
The role is focused on
event planning and coordination rather than working on the floor during events
.
You will be responsible for preparing detailed event documentation, coordinating requirements with clients and internal departments, managing event logistics, and ensuring all details are accurately communicated and ready for operational delivery.
This is an ideal opportunity for an experienced
hotel event coordinator
who understands the full event planning process and is confident managing multiple events, client requirements, quotations, BEOs, and operational details in a busy hotel environment.
Key Responsibilities:
• Create accurate and detailed Banquet Event Orders (BEOs) in Delphi in line with brand standards
• Manage event planning and coordination from handover through to post-event review
• Review and coordinate all event requirements, including room setups, menus, AV, run sheets, timings, and event flow
• Liaise with clients to confirm event details and ensure all requirements are accurately captured
• Coordinate with Food & Beverage,



Kitchen, AV, Front Office, Housekeeping and other departments to ensure seamless event delivery
• Lead pre-event, daily debrief, and post-event meetings as required
• Act as the key coordination point between clients and operational departments throughout the planning process
• Ensure event setups and operational requirements align with confirmed BEOs prior to commencement
• Communicate all event changes accurately and promptly to relevant departments
• Build strong relationships with clients, delegates, suppliers, and internal stakeholders
• Support site inspections and familiarisations to drive conversion opportunities
• Ensure all event charges, revenue, and billing are accurate and reconciled
• Support departmental revenue targets through upselling opportunities and correct charging procedures
• Maintain awareness of forecasts, budgets, and event profitability to support commercial outcomes
About You:

Previous experience in hotel event coordination, conference and events, or hotel catering operations is essential

This is not a front-of-house event service role; experience in event planning, coordination, administration, and client liaison is essential
• Strong experience coordinating conferences, meetings, functions, and social events within a hotel environment
• Strong skills in Banquet Event Orders (BEOs), event documentation, planning, and operational coordination




• Experience managing event requirements from client handover through to operational delivery
• Hands-on and proactive approach with strong attention to detail
• Strong communication and client relationship management skills
• Ability to work in a rapid-paced environment and manage multiple events simultaneously
• Strong organisational, administrative, and problem-solving skills
• Calm and solutions-focused approach when managing changes and competing priorities
• Experience using Delphi or similar event management systems is highly regarded
• Commercial awareness with an understanding of event revenue, upselling, and accurate charging
• Flexible availability across a 7-day roster as required by operational needs
