Client Overview
A growing digital services company based in Sydney, Australia specializing in website development, web hosting, and digital solutions for approximately 20 clients. The company is in its sixth year of operation and experiencing rapid growth requiring immediate support to optimize financial operations and reduce revenue leakage. Job Description You will be the financial backbone of a thriving digital services business, ensuring no revenue falls through the cracks while bringing order to monthly invoicing, client billing reconciliations, and supplier payments. Beyond traditional bookkeeping, you will identify profit opportunities by analyzing hosting costs versus client billing, suggest pricing improvements, and take ownership of client communications around outstanding invoices and service upgrades. This role offers significant autonomy to shape processes and directly impact the bottom line while supporting broader business operations as the company scales.
Schedule:
Mon-Fri 7-8 hours per day Australian Eastern Time Client Timezone: Australian Eastern Standard Time (AEST)
Responsibilities
Reconcile bank statements and supplier invoices in Xero on a monthly basis
Ensure all clients are invoiced accurately for web hosting, Microsoft licenses, and recurring services
Analyze monthly hosting provider invoices and compare actual usage costs against client billing to identify profit margin opportunities
Recommend pricing adjustments to clients with 60-day notice periods to optimize profitability while maintaining competitive rates
Follow up with clients on outstanding invoices to prevent payment delays from accumulating over multiple months
up and manage recurring invoices in Xero for ongoing services Identify clients not currently being billed for active services and rectify billing gaps
Prepare financial records for external accountant to submit BAS and tax returns
Assist with operational tasks including organizing client proposals and managing administrative workflows
Monitor company LinkedIn and social media accounts with basic posting to promote new services * Helping out with social media and marketing tasks
Must-Have Requirements
Proven experience in bookkeeping and accounting, including bank reconciliations and invoice management Proficiency in Xero accounting software
Strong analytical skills to compare supplier costs against client billing and identify discrepancies
Excellent written and verbal English communication skills for client correspondence
Experience following up on overdue invoices and managing accounts receivable
Ability to work independently with initiative to identify problems and implement solutions Comfortable working Australian business hours
Previous experience as a virtual assistant or in administrative support roles
Nice-to-Have Requirements
Bonus if you have formal accounting qualifications or background It helps if you have experience in the web hosting or digital services industry
Bonus if you are comfortable with Microsoft Excel and spreadsheet analysis It helps if you have basic social media management experience for corporate LinkedIn accounts
