SERVICE OPERATIONS COORDINATOR – HVAC & ELECTRICAL

SCE Projects is a commercial electrical, air conditioning and refrigeration company servicing a range of commercial clients across Sydney and the Central Coast.
We’re looking for an experienced Service Operations Coordinator to take control of the day-to-day running of our service department.
This is not just an admin role.
We need someone who is organised, confident dealing with tradespeople and clients, and capable of making sure jobs keep moving from the initial call through to completion and invoicing.
The role will include:
- Scheduling and coordinating service technicians
- Receiving and managing reactive service calls
- Keeping clients updated on job progress
- Following up technicians for job reports, photos and timesheets
- Managing planned maintenance schedules
- Raising and tracking purchase orders
- Following up parts and suppliers
- Tracking defects and outstanding quotations
- Making sure completed jobs are ready for invoicing
- Keeping job, site and asset information up to date
- Assisting with service reports and client documentation
- Attending client and site meetings where required
- Recording and following up actions from meetings
- Keeping on top of outstanding jobs so nothing gets forgotten
- Helping improve the systems and processes within the business
We currently use AroFlo, so experience with AroFlo would be ideal, however strong Simpro or similar job management software experience would also be highly regarded.
ABOUT YOU
Ideally, you will have experience working in an HVAC, refrigeration, electrical, plumbing, fire, facilities management or other trade service business.
You don’t need to be technically qualified, but you need to understand how a service business works.
You should be comfortable:
- Coordinating multiple technicians and jobs at once
- Dealing directly with commercial clients
- Prioritising urgent breakdowns
- Chasing people when information is outstanding
- Working without needing to be told what to do next
- Managing competing priorities
- Taking ownership of problems and following them through
- Using job management software such as AroFlo or Simpro
We’re looking for someone who wants to become an significant part of the business and take genuine ownership of the service operation.
For the right person, there is plenty of scope for the role to develop into an Operations Manager or Service Manager position as the company continues to grow.
