Trans Tasman Radiation Oncology Group (TROG Cancer Research) – Waratah NSW

TROG Cancer Research is a leading collaborative clinical trials group conducting world-class radiation medicine research to improve outcomes and quality of life for people affected by cancer.

Based at the TROG Central Operations Office in Waratah, our team supports clinical trials, radiation therapy quality assurance and collaborative research across Australia, New Zealand and internationally.

The Opportunity

We are seeking an experienced and highly organised Administration and Events Coordinator to join our Business Services team.

Reporting to the Executive Administrator, this part-time role coordinates day-to-day office administration and provides administrative and logistical support for TROG events, including the Annual Scientific Meeting.

The role would suit an experienced administrator who enjoys a varied workload, can work independently as well as collaboratively, and takes pride in delivering accurate and responsive administrative support.

Key Responsibilities

Coordinate day-to-day office administration, systems, resources and facilities.

Provide administrative support for staff onboarding and induction, compliance record-keeping, and routine staff training activities.

Coordinate travel and accommodation arrangements.

Organise meetings and provide secretariat support, including agendas, minutes and follow-up.

Maintain administrative systems, records and document management processes.

Assist with TROG communications, website content, membership administration and general enquiries.

Coordinate TROG’s internal administrative support for the Annual Scientific Meeting, working with TROG staff and the appointed Professional Conference Organiser.

Provide administrative and logistical support for fundraising, sponsorship and other TROG events.





Coordinate office and staff events in collaboration with the Executive Administrator.

About You

You will be an experienced administrator with strong organisational and communication skills and the ability to manage a varied workload with a high level of accuracy.

You will be comfortable working independently under broad direction while also contributing as part of a collaborative team.

Certificate III or IV in Office Administration, another relevant business or office administration qualification, or substantial equivalent experience.

Minimum three years’ demonstrated experience in a broad administrative, office coordination or business support role.

Strong organisational skills, with the ability to prioritise competing demands, work independently and collaboratively, and maintain clear records and handovers.

Experience in office administration and operations, including facilities coordination, office supplies, travel and accommodation bookings, and maintaining administrative systems and records.

High-level written and verbal communication and interpersonal skills, including experience organising meetings, preparing agendas, taking accurate minutes and circulating meeting documentation.

Proficiency in Microsoft 365, including Outlook, Word, Excel, PowerPoint and Teams, with the ability to learn other business systems.

Ability to exercise initiative and sound judgement, maintain confidentiality and demonstrate a high level of accuracy and attention to detail.

Experience working in a clinical trials, health, research or not-for-profit workplace, or another setting with similar regulatory and compliance requirements.

Experience supporting the administrative and logistical coordination of events or conferences.
