The Role
This Client Services Administrator position offers the opportunity to shape and improve processes rather than simply follow them. Working directly with Directors and Senior Management in an environment that values efficiency, you'll have genuine input into operational efficiency and client service delivery.
Key responsibilities include
- Managing client relationships as a primary contact, ensuring exceptional service delivery
- Supporting Directors with strategic administrative tasks and workflow optimisation
- Identifying and implementing process improvements across the Client Services function
- Developing and delivering training initiatives to enhance team capability
- Monitoring team capacity and workflow distribution to maximise efficiency
- Managing ATO and ASIC lodgements with focus on compliance and process improvement
- Coordinating communications and correspondence using modern, integrated systems

The Candidate
You’ll bring public practice experience in Client Services or Administration, combined with:
- Previous administration experience in an accounting or professional services environment
- Confidence with compliance support tasks including ATO and ASIC lodgements, BAS/IAS tracking, and client file management
- Experience with platforms like Xero (preferred), XPM, or FYI Docs, CAS360 will be highly regarded
- Demonstrated ability to improve processes and challenge traditional methods
- Strong communication skills with focus on clarity and efficiency
- Advanced Microsoft Office capabilities and adaptability to new technologies
- Exceptional attention to detail balanced with practical commercial sense
- Ability to manage competing priorities independently without constant oversight
- Collaborative approach focused on outcomes rather than hours at desk
- A proactive, detail-oriented approach with genuine interest in process improvement
The Candidate
If you have experience in practice management, office management, or senior administrative roles within the Accounting industry, we'd like to hear from you. A passion for creating an efficient, welcoming and supportive workplace is essential.
- Proven experience in a public practice accounting firm in a Practice Administrator, Client Services Administrator, Operations or similar compliance-focused role
- Hands-on exposure to ATO and ASIC compliance processes, lodgements and portal management
- Confidence working across practice management and accounting systems, ideally Xero Practice Manager, FYI Docs, CAS360 or NowInfinity
- Strong organisational skills and a naturally structured approach to work
- Excellent written and verbal communication skills
- High attention to detail, particularly around deadlines, compliance and documentation
- The ability to work independently, manage competing priorities and provide steady operational leadership
- A long-term mindset and genuine interest in being part of a firm’s operational backbone
