Executive Assistant with Project Focus

$95,000 – $110,000 + super + advantages
We’re looking for a sharp, organised Executive Assistant who can keep things running smoothly and actually enjoy managing projects. This role supports a busy leadership team and needs someone who brings strong project coordination skills and seriously good organisation to the table.
The Role
You’ll handle the usual high-level EA support while also taking real ownership of projects and making sure they get over the line. It’s not just about calendars and inboxes — you’ll help keep multiple work streams moving and stakeholders (including those overseas) in the loop.
What you’ll be doing:
Supporting CEO with diary management, travel, correspondence, meeting prep and follow-ups
Coordinating projects from start to finish — planning, tracking progress, chasing actions and delivering results
Keeping clear project plans, timelines and status updates
Managing competing priorities and deadlines without the drama
Organising meetings, workshops and events (agendas, materials, logistics and notes)
Building and improving simple systems that make the team more efficient
Preparing polished documents and presentations, often under tight timeframes
Working confidently with overseas stakeholders across different time zones and cultures
About You:
You’re highly organised,
proactive and comfortable juggling a lot without dropping the ball. You have a natural project management mindset and communicate clearly with people both locally and internationally.
You’ll need:
Solid experience as an Executive Assistant (or similar) supporting leaders.
Real project coordination experience — you’ve planned, tracked and delivered work before
Excellent organisational and time-management skills
Confidence dealing with overseas stakeholders (different time zones, explicit written and verbal communication)
Strong attention to detail and a calm, solutions-focused attitude
Great written and verbal communication
Strong Google Suite Microsoft Offices skills and familiarity with project tools (Monday.com preferably)
The ability to handle confidential information and use good judgement
