About the role
We are seeking a talented and organised Paralegal/Office Manager to join our Melbourne office on a full-time basis. This is a dual-responsibility role that combines paralegal support with office management functions, making it ideal for someone who thrives in a dynamic, multifaceted environment.
You will be instrumental in supporting our family law team whilst maintaining the smooth day-to-day operations of our firm. This position offers the opportunity to develop diverse skills and play a pivotal role in the success of our practice.
Key responsibilities
Preparing and drafting family law documents, including applications, affidavits, consent orders and other legal correspondence
Conducting legal research and providing summaries of relevant case law and legislative updates to support legal advice
Managing client files and ensuring accurate, up-to-date documentation in compliance with legal practice standards
Assisting solicitors with case preparation, including organising evidence and liaising with clients and third parties
Managing court filing deadlines and maintaining detailed matter timelines
Supporting clients with administrative tasks related to their matters
Managing the office reception area, answering enquiries and greeting clients in a professional manner
Overseeing appointment scheduling and maintaining accurate calendars for solicitors and staff
Managing office supplies, equipment and vendor relationships
Handling routine accounting functions, including invoicing, expense management and reconciliation
Maintaining office policies and procedures and ensuring compliance with firm standards
Coordinating office events, meetings and administrative tasks
Providing general administrative support to all team members
What we're looking for
Essential qualifications and experience:
Minimum of 2 years' experience in a legal setting, preferably in family law
Strong knowledge of family law procedures, court rules and document preparation requirements
Proficiency with legal practice management software and general Microsoft Office applications
Excellent organisational and time management skills with the ability to manage multiple priorities
Outstanding written and verbal communication skills, with meticulous attention to detail
Professional, courteous demeanour with strong interpersonal skills and the ability to work effectively with clients, solicitors and court staff
Ability to work autonomously whilst contributing positively to a collaborative team environment
Experience in a family law practice or exposure to family law matters
Previous office management or administrative coordination experience
Knowledge of court filing systems and procedures in Victoria
Experience with client relationship management
A calm, empathetic approach to working with clients experiencing family law issues
