As a Patient Concierge, you will play a key role in delivering a seamless 5 star client experience. As the first point of contact, you will provide a warm and welcoming atmosphere while ensuring exceptional customer service. Strong interpersonal skills, professionalism, and confidence in communicating the range of treatments will be essential in this role. this position is available on a part-time or full time basis, please list your preference at the top of your resume.

Ascension Cosmetic Medicine is the flagship clinic of Dr. Scott Allison, one of Australia's leading Cosmetic Physicians. Their stunning 250m² luxury clinic, set along the river in New Farm, offers the latest advancements in modern cosmetic procedures. Specialising in cosmetic injectables, bio-stimulators, laser treatments, body contouring, platelet-rich plasma, skin tightening, and cosmetic dermatology treatments.

Key responsibilities

- Manage the appointment book of the busy clinical team, ensuring the smooth running of all appointments

- Make, reschedule, confirm, and cancel appointments, optimising the appointment book accordingly to maximise the business opening hours and clinical team

- Process payments in multiple formats, issue refunds, confident cash handling, reconcile end of day banking

- Manage the clinic emails promptly for all client enquiries, including advice on skincare, appointments, and reactions, as well as client feedback

- Manage the phone lines in a polite and calm manner, being informative, and have confidence in the knowledge of treatments and products

- Host a calm, seamless client experiences,



maintaining a friendly atmosphere

- Maintain the 5* standards of the clinic client areas, working with the team to make sure that no area is overlooked

- Stock control management, reconciling stock, ordering stock, uploading stock on the system, and responsible for stock numbers

- Provide retail product advice, understanding and have confidence in products and ingredients

- Manage client feedback including treatment reaction, product reaction, and the overall customer journey

About you

- Experience in a fast-paced administrative environment

- Strong computer proficiency

- Excellent communication skills

- Confident phone manner

- Ability to collaborate with other team members to ensure a holistic experience within the clinic

- Maintain a professional image with a high standard of grooming

- Passion to develop yourself and grow with the business

- Exceptional customer service, problem-solving and collaborative working

- Availability to work Monday - Saturday (position is available PT or FT, please list your preference on your resume)
