- Maintain office supplies, stationery and kitchen supplies.
- Arrange staff travel and accommodation when required.
- Monitor staff travel diaries.
- Collect and deliver mail from the Post Office as required.
- Perform general administrative duties.
Purchasing & Inventory (in conjunction with Service Team)
- Create and maintain Purchase Orders
- Receive and unpack incoming goods.
- Allocate received goods to customer orders.
- Pack outgoing goods and arrange courier collections.
- Assist with annual stock take.
Accounts & Finance (In conjunction with Finance Manager)
- Enter supplier invoices into Attaché accounting software.
- Prepare customer invoices following completion of service documentation.
- Raise credit notes following approval.
- Maintain Accounts Receivable including processing customer receipts, payment allocation to debtor accounts and reconciling collections to bank statements.
- Follow up outstanding customer accounts.
- Monitor Direct Debit Requests (DDRs) and reconcile against customer billings.
- Process staff travel advances and expense claims.
- Perform month end closing procedures and generate reports from Attaché.
- Assist the Finance Manager with general accounting functions.
Compliance & Reporting (in conjunction with Managing Director)
- Assist with preparation for the annual external audit.
- Maintain accounting schedules and documentation to audit standard.
- Ensure accurate filing and record keeping.
- Prepare reports as required.
General
- Provide administrative support to the Finance Manager and Managing Director.
- Undertake additional duties as required.
Skills & Experience The successful applicant will ideally possess:
- Previous experience in office administration.
- Experience in Accounts Receivable and general accounting.
- Experience with accounting software (Attaché experience highly regarded but not essential).
- Solid Microsoft Office skills (Excel, Outlook and Word).
- Excellent organisational and time management skills.
- Great level of accuracy and attention to detail.
- Strong written and verbal communication skills.
- Ability to prioritise work and meet deadlines.
- Skilled and friendly telephone manner.
- Ability to work independently while contributing to a small team.
Desirable
- Experience with inventory or warehouse administration.
- Experience processing Purchase Orders.
- Experience coordinating courier freight.
